About The Position

This role is responsible for maintaining compliance with ACGME program requirements, preparing for accreditation site visits and reviews, and managing annual program updates in the Accreditation Data System (ADS). The coordinator will monitor fellow duty hours, evaluations, milestones, and case logs, ensuring all required accreditation documentation is completed. Key responsibilities include coordinating the recruitment and onboarding of cardiology fellows, managing the fellowship application and interview process, and maintaining fellow personnel files and credentialing records. The position also involves tracking licensure, certifications, and training requirements, coordinating orientation for incoming fellows, and developing and maintaining fellowship rotation schedules. Additionally, the role supports didactic conferences, grand rounds, journal clubs, and board review sessions, tracking attendance and educational participation. The coordinator will also support Clinical Competency Committee (CCC) and Program Evaluation Committee (PEC) activities, and assist with annual program evaluations and improvement initiatives.

Requirements

  • Associate's Degree in business administration, healthcare administration, or related field. (Two years of related experience or 60 semester hours of college credit may substitute for an Associate's Degree)
  • May be required to submit to a federal background investigation.

Responsibilities

  • Maintain compliance with ACGME program requirements.
  • Prepare for accreditation site visits and reviews.
  • Manage annual program updates in the Accreditation Data System (ADS).
  • Monitor fellow duty hours, evaluations, milestones, and case logs.
  • Ensure completion of required accreditation documentation.
  • Coordinate recruitment and onboarding of cardiology fellows.
  • Manage the fellowship application and interview process through ERAS and NRMP.
  • Maintain fellow personnel files and credentialing records.
  • Track licensure, certifications, ACLS/BLS renewals, and training requirements.
  • Coordinate orientation for incoming fellows.
  • Develop and maintain fellowship rotation schedules.
  • Coordinate didactic conferences, grand rounds, journal clubs, and board review sessions.
  • Track attendance and educational participation.
  • Support Clinical Competency Committee (CCC) and Program Evaluation Committee (PEC) activities.
  • Assist with annual program evaluations and improvement initiatives.
  • Coordinate and facilitate all aspects of the GME program, including educational activities (e.g., didactic sessions, conferences, grand rounds) and program-wide events (e.g., orientation, graduation, retreats).
  • Conducts day-to-day administrative operations, including maintaining program records, databases, and accreditation documentation.
  • Assists with resident recruitment, selection, and onboarding processes, including visa requirements, licensure, and credentialing.
  • Provides assistance and support to residents/fellows on program policies, procedures, and administrative matters.
  • Works closely with the Program Director to ensure program compliance with ACGME requirements and institutional policies.
  • Assists the program leadership with program quality initiatives and improvement projects.
  • Participates in professional development activities.
  • Coordinates and facilitates resident/fellow evaluations, including scheduling, data entry, and analysis.
  • Assists with the preparation and submission of all required reports and documentation to the ACGME, the Accreditation Council for Graduate Medical Education (ACGME), and other regulatory bodies.
  • Maintains and updates program letters of agreement with affiliated institutions and training sites.
  • Assists with the coordination of accreditation site visits, special reviews, and annual program evaluations.
  • Assists with the development, implementation, and tracking of resident wellness programs.
  • Maintains effective communication with residents, fellows, faculty, staff, and other stakeholders.
  • Utilizes and maintains proficiency in relevant software systems, such as the Residency Management System (RMS), electronic health records (EHR), and other program-specific applications.
  • Assists with program budget management, including monitoring expenditures, reconciling trainee clinical effort, and ensuring compliance with financial regulations and reporting requirements.
  • Perform other duties as assigned.
