About The Position

The Graduate Coordinator provides shared administrative support to the Department of the History of Art and the Art and Archaeology of the Mediterranean World (AAMW) graduate group, with primary responsibility for graduate program coordination and student services. The position also supports departmental operations, financial processing, curriculum administration, facilities coordination, and special events. Welcome to one of the country's leading programs for the History of Art and one of the most active organizations on the Penn campus. At home in the Jaffe History of Art Building, we are located at both a physical and a virtual crossroads for Penn's vibrant community of students and teachers. We offer a wide variety of undergraduate instruction to satisfy the curiosity and pique the interest of students. General liberal arts majors and specialists are provided for equally. Our courses regularly transport students to Philadelphia's museums, galleries and historic sites, and we offer seminars in collaboration with the Institute of Contemporary Art and the Arthur Ross Gallery, in which students devise and organize exhibitions. The department is home to the Visual Studies program and is a significant contributor to the Cinema and Media Studies major. Our renowned graduate program is sustained by the Faculty of the Graduate Group in the History of Art, whose collegial appointments drawn from elsewhere in the University enriches the scope and expands the size of the department. The department also hosts the Graduate Group in the Art and Archaeology of the Mediterranean World, underscoring the breadth of our interests.

Requirements

  • High School Grad/GE Degree and 5 to 7 years of experience or equivalent combination of education and experience is required.
  • Excellent organizational, written, verbal, and interpersonal communication skills.
  • Strong attention to detail.
  • Ability to manage multiple priorities and deadlines independently.
  • Sound judgment, discretion, initiative, and a strong service orientation are essential.

Nice To Haves

  • Bachelor's degree preferred.
  • Experience working in higher education or another academic setting is strongly preferred, with familiarity with Penn considered a plus.
  • Experience with academic administration, graduate student services, event coordination, and financial processing is preferred.
  • Familiarity with Penn systems such as Concur, Penn Marketplace, NGSS, CLSS/Curriculum Manager, Grad Funding, or comparable systems is highly desirable.

Responsibilities

  • Provides shared administrative support to the Department of the History of Art and AAMW, with primary responsibility for graduate program administration.
  • Coordinates graduate admissions, registration, student progress and benchmarks, fellowship nominations, funding records, and graduation processes, and serves as a primary administrative resource for graduate students and faculty.
  • Supports curriculum and course administration, departmental events, routine financial transactions, facilities and office operations, and departmental student workers.
  • Serves as a liaison to the Graduate Division, SAS Finance, building management, and other University offices as appropriate.
  • Reports to the Associate Director of Regional Department Administration.
