About The Position

The Agency for Health Care Administration is Florida's chief health policy and planning entity. The Agency is responsible for administering the Florida Medicaid program, the licensure and regulation of nearly 50,000 health care facilities, and empowering consumers through health care transparency initiatives. Under the direction of Agency Secretary Shevaun L. Requirements

  • Four years of professional experience in management analysis, program planning, program research or administrative work.
  • Ability to communicate effectively, both verbally and in writing.
  • Proficiency with proofreading documents and correspondence.
  • Ability to managed and prioritize multiple projects.
  • Ability to organize data and information.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to plan, organize and complete work assignments timely.
  • Knowledge the Agency/Division's organization structure and responsibilities.
  • Knowledge of personnel activities and DMS rules and guidelines.
  • Ability to travel with or without accommodations.

Nice To Haves

  • A bachelor’s degree from an accredited college or university can substitute on a year for year basis for the required experience.
  • Direct human resources experience, such as recruitment and selection, classification, or HR program administration.

Responsibilities

  • Performing a variety of complex administrative and operations management duties for the Management Review Specialist-SES and the Deputy Secretary of Health Quality Assurance (HQA).
  • Providing advanced/complex administrative and consultative assistance in coordinating the completion of tasks between the HQA Deputy Secretary’s Office and all 8 bureaus.
  • Maintaining up-to-date knowledge of Agency rules and regulations pertaining to personnel management practices and procedures, as well as a thorough knowledge of DMS and Agency personnel system rules and regulations and keeping the Management Review Specialist and other division management updated on all HR process changes.
  • Coordinating logistics for agency participation in job fairs, career expos, and recruitment events, including registration, scheduling, materials preparation, and communication with event organizers.
  • Representing the agency at job fairs by providing information on career opportunities, answering questions from prospective applicants, and promoting the agency’s mission and workforce needs.
  • Traveling as needed to job fairs and recruitment events, primarily within the Tallahassee area, but occasionally statewide to support Field Office hiring initiatives.
  • Serving as the Personnel Liaison for the division, which includes handling recruitment and retention activities.
  • Providing oversight and assistance to the bureaus in the completion of all personnel related activities.
  • Serving as Personnel Liaison for the Division, and primary liaison for Field Operations, assisting staff with personnel action requests, ensuring required documentation is collected, file reviews are completed and reviewed, and packages are processed timely.
  • Tracking submission of packages to Human Relations; working with Human Relations and Budget on approval status, and addressing any potential issues with the Management Review Specialist, Deputy Secretary and/or respective Bureau Chief.
  • Performing training for HR liaisons and division staff; creating training tools and resources to assist with process improvements.
  • Reviewing administrative policies, procedures, guidelines and personnel related directives; evaluating impact on operations; identifying potential opportunities for improvement; and recommending appropriate action to HQA management.
  • Identifying division-wide HR operational needs and serving as a centralized repository for sample templates for all Agency personnel related documents/actions.
  • Independently handling special administrative projects; interpreting administrative policies; researching and gathering data; preparing reports; and handling other duties as assigned.
  • Providing confidential administrative support for the division, performing consultative work involving operational and management support, and handling human relations duties.
  • Maintaining a weekly vacancy report for the division and working collectively with the eight bureaus to obtain statuses of positions.
  • Performing other duties as assigned.
