Rivian and Volkswagen Group Technologies (RV Tech) is seeking a highly organized and detail-oriented Global Mobility & Immigration Coordinator to provide critical operational support across our expanding global talent ecosystem. In this foundational role, you will act as the operational engine supporting two primary pillars of our team: Global Relocation & Assignments and End-to-End Immigration. This role is an exceptional opportunity for an HR professional looking to deeply specialize in global mobility within a fast-paced, cutting-edge joint venture. You will sit at the intersection of employee experience and corporate compliance, assisting with day-to-day case tracking, external vendor coordination, immigration filings, and expat logistics. The ideal candidate brings a solid foundation in general HR operations, unmatched organizational skills, and an empathetic approach to supporting employees navigating major life and career transitions. This role has a flex 3 days a week onsite schedule and is based out of our Palo Alto, CA office.

Requirements

  • 2+ years of foundational experience in Human Resources, Talent Acquisition, or HR Operations.
  • Bachelor’s degree in Human Resources, Business Administration, International Relations, or equivalent practical experience.
  • Proven ability to manage a high volume of administrative tasks and cases simultaneously without sacrificing detail or accuracy.
  • Exceptional written and verbal communication skills; ability to handle sensitive, confidential employee data and stressful relocation situations with high emotional intelligence.
  • Proficient with core HRIS/People Systems, Applicant Tracking Systems (ATS), and standard data tracking tools (Excel, Smartsheet, or proprietary case management software).

Nice To Haves

  • Prior specialized experience in mobility or immigration is a plus, but not required.
  • Familiarity with standard US visa types (H-1B, L-1, TN) or basic corporate relocation concepts.
  • Experience working within tech companies, joint ventures, or highly matrixed organizations.
  • A track record of identifying opportunities to streamline or automate repetitive administrative workflows.

Responsibilities

  • Assist with the day-to-day administration of a growing global immigration caseload (US, Canada, and Europe), ensuring all milestones are tracked accurately.
  • Review immigration filings for content, data accuracy, and completeness before submission.
  • Maintain Public Access Files (PAF) and internal immigration records in strict compliance with DOL, USCIS, and international regulatory bodies.
  • Act as a daily point of contact for external immigration counsel to route documents, follow up on outstanding cases, and track SLAs.
  • Support the operationalization of RV Tech expat policies, helping coordinate housing, schooling, transport, and onboarding logistics for international arrivals.
  • Serve as a responsive first line of contact for relocating employees and candidates, answering foundational policy questions with empathy and clarity.
  • Maintain internal dashboards and trackers detailing assignment costs, visa expiration timelines, and overall headcount metrics for leadership.
  • Assist with the collection of compensation and benefits data required for shadow payroll processing and year-end tax equalization workflows.
