About The Position

Under general supervision, the genetic counseling assistant is responsible for supporting genetic counselors and other clinicians (e.g MDs) with administrative functions, including triaging incoming cases for genetic counselors and geneticist review, and assisting with collecting necessary patient clinical information. Additional responsibilities may include coordinating and scheduling appointments, updating patients’ electronic medical records, routing telephone calls, assisting with the creation of educational materials and patient letters, participating in team meetings and performance/quality improvement projects. Requirements

  • High School diploma or equivalency certificate (e.g., GED, HiSET, TASC Test) from an accredited institution or governmental unit
  • Computer experience with the ability to use word processing and spreadsheet programs

Nice To Haves

  • Educational or professional background in Biology and/or Genetics
  • Experience in a clinical setting and within a genetic specialty clinic
  • Electronic medical record (EMR) experience
  • Working knowledge of patient related documents

Responsibilities

  • Obtains and reviews patient medical records for clinical appointments, ensuring all required information is complete
  • Coordinates patient scheduling responds to phone inquiries and manages appointment-related communications for genetic services
  • Research insurance coverage verifies prior authorizations, and coordinates approvals for genetic testing
  • Prepares letters of medical necessity, family letters regarding genetic diagnoses, and other visit-related documentation for review by a genetic counselor or clinical geneticist
  • Collects family history information under the supervision of a genetic counselor or clinical geneticist
  • Provides patients and families with updates regarding insurance authorization decisions and genetic testing status
  • Coordinates genetic testing for patients and family members, including diagnostic and research-related testing
  • Manages provider appointment templates, coordinates patient rescheduling, prepares clinical schedules, and assists with coverage planning
  • Assists with patient chart reviews, case preparation, follow-up correspondence, and communication of testing results
  • Maintains and analyzes genetics practice data, including patient volumes, testing outcomes, and other departmental metrics
  • Participates in performance improvement initiatives and supports the implementation of new clinical workflows
  • Trains, orients, and may assist in interviewing and onboarding new staff
  • Provides backup support for other departmental staff as needed
  • Represents the department on committees or project teams, including electronic medical record enhancements
  • Performs other duties as assigned
  • Accesses only the minimum necessary protected health information (PHI) for the performance of job duties. Actively protects the confidentiality and privacy of all protected health information they access in all its forms (written, verbal, and electronic, etc.) taking reasonable precautions to prohibit unauthorized access. Complies with all Atrius Health and departmental privacy policies, procedures and protocols. Follows HIPAA privacy guidelines without deviation when handling protected health information
  • Performs all job functions in compliance with applicable federal, state, local and company policies and procedures
  • Ability to use all electronic tools and applications relevant to the performance of the duties of the position, including but not limited to phone, keyboard, computer and computer applications
