About The Position

The General Manager (On-Site) – HOA is responsible for overseeing the daily operation and administration of the community association. This role serves as the primary liaison between the Board of Directors, homeowners, and the management company, ensuring clear communication and timely follow-up on community matters. The General Manager will execute administrative and operational directives, develop and implement community management tools, review financial statements, oversee covenant compliance, and provide recommendations to the Board of Directors regarding capital improvements. This position also involves monitoring assessment delinquency, attending meetings, preparing Board meeting packages, maintaining records, assisting with the architectural review process, managing vendor relationships, and coordinating inspections. Additionally, the role may involve coordinating with Food & Beverage leadership and performing other assigned duties to support effective community management.

Requirements

  • Oversee the daily operation and administration of the community association in accordance with the management agreement, governing documents, and the Association’s policies and procedures.
  • Serve as the primary liaison between the Board of Directors, homeowners, and the management company, ensuring clear communication and timely follow-up on community matters.
  • Execute administrative and operational directives as requested by the Board of Directors and in accordance with the management agreement.
  • Develop, implement, and maintain community management tools, including but not limited to annual calendars, action lists, timed agendas, committee charters, procurement procedures, resolution tracking, RFP matrices, and operating budgets.
  • Review monthly financial statements and reports, ensuring that management summaries are accurate and presented to the Board of Directors in a timely manner.
  • Oversee covenant compliance, including performing or coordinating community inspections, issuing violation notices, and administering the enforcement process in accordance with governing documents and applicable regulations.
  • Provide recommendations to the Board of Directors and committees regarding capital improvements and major expenditures necessary to maintain the community’s appearance, infrastructure, and overall operations.
  • Monitor assessment delinquency reports and collection processes, coordinating with accounting staff and legal counsel when necessary.
  • Attend Board meetings, committee meetings, and community events as required by the management agreement or as directed by the Board.
  • Prepare and distribute Board meeting packages in accordance with established timelines and standards.
  • Ensure the Board of Directors is informed of any legal actions or matters involving the Association and coordinate with legal counsel as necessary.
  • Maintain organized and accurate records, including unit files, contracts, vendor agreements, and operational documentation related to the Association.
  • Assist the Board of Directors and Architectural Review Board (ARC) with the architectural review process and conduct inspections as needed.
  • Maintain and update the resident database, ensuring all owner and tenant information remains accurate and current.
  • Manage vendor relationships, including procurement, contract negotiation, service oversight, and performance evaluation.
  • Coordinate inspections of buildings, amenities, and common areas, ensuring proper maintenance and timely follow-up on repairs or deficiencies.
  • Oversee the accounts payable process in accordance with company and corporate accounting procedures.
  • Coordinate with Food & Beverage leadership, including the Executive Chef and Front-of-House Manager, regarding the operation of dining or hospitality services when applicable.
  • Perform other duties as assigned to support the effective management of the community.

  • Conduct all business activities with the highest level of professionalism, integrity, and ethical standards.
  • Support operational workflow by assisting with additional tasks as needed to meet deadlines and organizational goals.
