About The Position

The Property Manager provides management, direction, and leadership to ensure the property is maintained and operated in accordance with KWPM objectives. Property Managers are certified and licensed by the State of Florida for Community Property Manager (CAM). This role is fundamental to all functions of the community, involving close work with the Association Board of Directors and/or the Developer to manage and operate the community and facilitate solutions to problems. Strong management, customer service, and supervisory skills are required. The position requires a positive, professional, and client-oriented attitude, projecting a competent image through friendly and outgoing service, timeliness, and professional appearance.

Requirements

  • Previous experience required.
  • Must have a strong working knowledge of customer service principles and practices.
  • Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents with a similar degree of complexity.
  • Must be proficient and have working knowledge of Microsoft Office Applications.
  • Must have a Florida CAM license.
  • Must have a valid FL Driver’s license.
  • Employee is sometimes required to work for extended periods of times; being flexible in the hours which could include nights and weekends.
  • Must have the ability to react and address all emergency situations in a timely manner.
  • Some locations will require bi-lingual in English and Spanish.

Responsibilities

  • Act as the company's primary coordinator for assigned properties to ensure contractual property management obligations are met and exceeded.
  • Prepare annual budgets for the association.
  • Analyze and distribute monthly financial statements, including operating variances, cash management, and strategies for receivable collection.
  • Maintain complete and accurate property files and records according to department systems, emphasizing documentation for future reference.
  • Provide prompt, detailed, and accurate general status reports on all assigned properties.
  • Supervise on-site team members, develop specifications, and evaluate maintenance and management service needs and performance.
  • Encourage staff to behave professionally, comply with safety standards, and work as a team.
  • Establish and maintain collaborative working relationships with departments, coworkers, and project teams.
  • Prepare for and chair team meetings.
  • Acquire and maintain current knowledge of state and regulatory agency statutes and community documents, policies, and procedures.
  • Initiate contact with new resident representatives to coordinate move-in processes, provide orientation, review services, and explain building rules.
  • Set and instill high performance standards in staff through personal follow-up.
  • Respond to phone calls and correspondence in a timely and professional manner.
  • Maintain professional relationships with the BOD, Unit Owners, and vendors.
  • Run BOD meetings when necessary according to Roberts Rules of Order.
  • Create management reports detailing administrative items, financial overview, property condition, project progress, and recommendations.
  • Prepare professional presentations of reports, action plans, budgets, and bid analyses.
  • Support KWPM's GREAT values, philosophy, and goals, and adhere to KWPM policies.
  • Organize time effectively and balance competing demands of multiple projects.
  • Attend monthly Manager’s meetings.
  • Maintain and upload all documents into management support systems accurately and update accordingly.
  • Monitor contracts regularly, evaluate and negotiate contracts effectively.
  • Ensure vendors provide a certificate of insurance naming the Association and KW Property Management as additional insured and certificate holder.
  • Obtain copies of all business licenses from vendors and update documents accordingly.
  • Maintain accurate records, files, and communication pertinent to the Association office, organizing files and policies per company standards.
  • Update Association communication regularly, including menu boards, newsletters, and the Association website.
  • Process violations, work orders, architectural control applications, lease applications, and sale applications on a monthly basis.
  • Possess knowledge of assets, cash balances, and fund availability for projects, including cash flow management for capital improvements.
  • Monitor aging reports, timely legal action, and update the collection module.
  • Keep up-to-date equipment maintenance logs, inventory, and update the preventive maintenance manual quarterly.
