About The Position

The Gate Security Coordinator serves within Community Support and is directly supervised by the Community Support Manager. Staff member will follow all Federal and State Laws, County Ordinances, Hot Springs Village Declaration and Protective Covenants, Policies, Rules and Regulations governing Hot Springs Village. This staff member will be the primary contact for all gate issues, both manned and unmanned. They will coordinate with several different departments for the investigation of gate violations and gate damage. This position is responsible for minor gate repairs as needed to keep the gate in service. They will also directly observe contract gate personnel to ensure compliance with the Post Orders and other contracted responsibilities. This position may include testifying in a Court of Law or HSVPOA Board of Directors hearings. The staff member must promote the philosophical goals and mission statement of HSVPOA.

Requirements

  • High school diploma or general education degree (GED).
  • Contract oversight and/or Quality Assurance and Compliance.
  • Conflict resolution and de-escalation techniques.
  • Ability to read and comprehend instructions, short correspondence, and memos.
  • Ability to write correspondence and compose in-depth documentation of events and facts.
  • Ability to effectively speak in public and present information in different situations to property owners, guests and other employees of the organization.
  • Ability to apply common sense and understanding to carry out written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Must have a pleasant personality and be able to meet and work with the general public in sometimes stressful situations.

Responsibilities

  • Become the subject matter expert on all HSVPOA protective covenants and the gate Post Orders.
  • Communicate and coordinate with other departments for investigations, to include, but not limited to, the IT Manager, HSV Maintenance, contracted security, payment clerks, and the HSV Police Department.
  • Respond to all gate complaints and communicate issues to the security contractor when necessary.
  • Perform on-site direct observation of contracted gate security to ensure contractual compliance and identify shortfalls.
  • Document and communicate contract shortfalls to the Community Support Manager and contract security management for resolutions.
  • Interact professionally, tactfully, and effectively with the public in sometimes stressful situations.
  • Receive complaints and enter the complaint in the computer tracking system for records and tracking purposes.
  • Respond to gate damage reports and make on-site repairs and/or communicate repair needs to maintenance.
  • Review video footage to determine the cause and perpetrator of gate damage.
  • Communicate violation and resulting fine/repair fee with perpetrators of gate damage.
  • Track and pursue reimbursement/collections for gate damage caused by both members and non-members.
  • Prepare written directives for perpetrators to indicate the corrective action(s) required.
  • Enter violations into the computer system to ensure timely follow up within established timeline.
  • Prepare case material for presentation to POA officials, committees, county or state officials, to be presented when requested. Presents evidence and other material in various proceedings to include legal proceedings.
  • Attend appeal sessions with the Board of Directors to represent the POA and prepare statements/evidence to support our position on the appeal.
  • Act as gate attendant when necessary to facilitate gate operations.
  • Drive POA vehicle or personal vehicle while conducting POA business.
  • Regular attendance is required.
