Investigates and resolves patient complaints. Promotes and maintains patient satisfaction. Serves as liaison between practice office and administration and fosters positive communication and relationships between departments and physician office staff. Promotes positive interactions between practice and area physician offices.

Requirements

  • Demonstrated competency with medical procedural coding (CPT/ICD9).
  • Ability to interact with personnel of all levels within the organization and work within a multi-disciplinary team environment.
  • Interpersonal skills, customer orientation and an outgoing and pleasant demeanor.
  • Prior experience and demonstrated competence with patient or customer information systems.
  • Demonstrated competencies with cash controls.
  • Highly effective verbal, written and interpersonal communication skills to communicate effectively with all levels hospital staff, patients, visitors, and levels of staff.
  • High School Diploma or equivalent (GED) is required.
  • Five (5) years of administrative experience in a physician office or healthcare related field required.

Responsibilities

  • Supervises the administrative aspects of office practice, which may include multiple office locations, in coordination with leadership.
  • Assures proper staffing of office, approves and coordinates time off, and coordinates schedules for various office practice sites.
  • Implements standard procedures and processes that will foster efficiency throughout the practice.
  • Communicates and assists with education and implementation of policies within the office.
  • Reports concerns, problems, and other office issues to Practice Manager as appropriate and required.
  • Assists with personnel actions, such as hiring, monitoring work performance, and disciplinary actions according to policy. Maintains employee files documenting such.
  • Coordinates the orientation and training of new employees.
  • Ensures timely submission of all performance evaluations and payroll information.
  • Investigates and resolves all customer complaints.
  • Provides input into the development of an annual operating budget for office practice.
  • Review and analyzes monthly revenue charges, payments and financial reports, as well as billing and coding concerns.
  • Oversees the storage, maintenance, security, and retrieval of patient medical records.
  • Responsible for practice transition to, and coordination of new software products at practice site.
  • Develops standards of performance, evaluation of performance, and provides on-going feedback to office staff members.
  • Manages property, equipment, and grounds maintenance, as well as office supply orders.
  • Assures the practice is operating in compliance with applicable local, state and federal guidelines.
  • Oversees investigation of issues related to physician office staff, billing concerns/issues and customer service.
  • Maintains the privacy and security of all confidential and protected health information. Uses and discloses only that information which is necessary to perform the function of the job.
  • Participates in billing of professional services, ensures proper coding, timely submission, and compliance with payer billing and practice requirements for services rendered by all providers at all places of service.
  • Assures the security and timely deposit of all office receipts.
  • Assures proper security and confidentiality is maintained within the office(s).
  • Reviews and codes invoices.
  • Performs duties of of other administrative staff as necessary.
