About The Position

The Front Office Staff is responsible for creating a warm, welcoming, and exceptional experience for every patient from check-in through check-out. This role involves managing appointments, verifying insurance, discussing treatment plans and financial responsibilities, and maintaining accurate patient accounts. The ideal candidate will have strong communication and organizational skills, a passion for patient care, and experience in a dental front office setting.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two years of front office experience.
  • Proficiency with Microsoft Office Suite.
  • Strong communication and interpersonal skills with a genuine passion for helping patients.
  • Ability to multitask, prioritize, and remain organized in a fast-paced environment.
  • Strong attention to detail and follow-through.
  • Comfortable discussing treatment, insurance benefits, and financial responsibilities with patients.
  • Positive, team-oriented attitude with a willingness to support others and take ownership.
  • Ability to communicate professionally and effectively with both patients and team members.

Nice To Haves

  • Dental experience strongly preferred.
  • Dental front office experience with scheduling, insurance verification, treatment presentation, and financial discussions preferred.
  • Knowledge of dental software strongly preferred; experience with Open Dental is a plus.
  • Bilingual in English and Spanish preferred.

Responsibilities

  • Create a warm, welcoming, and exceptional experience for every patient from check-in through check-out.
  • Schedule, confirm, and manage patient appointments while maintaining an efficient and productive doctor and hygiene schedule.
  • Verify insurance benefits and eligibility for all applicable clinical appointments.
  • Present and discuss treatment plans with patients, helping them understand their recommended care and next steps.
  • Conduct financial consultations and clearly communicate treatment costs, insurance benefits, and available payment options, as applicable.
  • Collect patient payments and all monies due for services rendered.
  • Maintain accurate patient accounts and support Accounts Receivable processes, including billing statements, aging reports, and collections, as applicable.
  • File and follow up on insurance pre-determinations and other insurance-related needs.
  • Check patients in and out efficiently while ensuring all necessary documentation and information is completed accurately.
  • Proactively communicate with patients regarding appointments, treatment, insurance, and financial questions.
  • Partner closely with the clinical team to ensure smooth patient flow and a positive patient experience.
  • Take ownership of schedule opportunities, cancellations, and openings by working proactively to keep the schedule full and productive.
  • Maintain a clean, organized, and professional front office environment.
  • Support practice goals and contribute to a positive, accountable, and team-oriented culture.
  • Participate in team meetings, training, and ongoing development to strengthen both individual and practice performance.
