About The Position

A Front Office Specialist is the initial point of contact for patients, responsible for creating a positive and world-class Total Patient Experience. This role involves performing essential administrative duties to ensure a seamless check-in and check-out process. Key aspects include providing exceptional customer service in person and over the phone, maintaining a professional demeanor, managing patient flow efficiently, handling insurance authorizations, processing payments, and conducting daily financial reconciliations. The specialist must also adhere to all company policies and procedures, including HIPAA, and perform general office tasks as assigned by management.

Requirements

  • Minimum of 1 year in a position interacting with customers/patients or the equivalent combination of education and experience
  • Favorable result on background check as required by state
  • Must be able to provide proof of identity and right to work in the United States
  • High school diploma or GED
  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook

Nice To Haves

  • Previous medical office experience preferred
  • Previous ophthalmic experience strongly preferred

Responsibilities

  • Embrace and execute our Total Patient Experience to build relationships with all patients while delivering great service and support.
  • Provide exceptional customer service during every patient encounter (in person or via phone).
  • Display a professional attitude, greet patients promptly with a smile, and thank them when they leave.
  • Answer phones (both external and internal); assure prompt, courteous service at all times.
  • Practice urgency at all times with consideration to the patient’s time, as well as doctor’s time and schedule.
  • Double check insurance authorizations to ensure completion and build accurate flow sheets.
  • Check out patients and collect correct payments according to procedures.
  • Manage patient flow in the office and ensure communication to maximize efficiency and customer service.
  • Complete daily reconciliations / close day / countdown cash drawer.
  • Comply with all company policies and procedures, including HIPAA.
  • General office duties and cleaning to be assigned by the manager.
