About The Position

The Front Office Operations Manager at AltaMed is responsible for overseeing the daily operations of the Front Office team. This role involves close collaboration with the clinic RN Manager and partnership with the Clinic Director to ensure the highest quality patient experience, meeting the expectations of both patients and internal/external customers. The Manager provides oversight for large/multi-clinic sites, evaluating the Front Office team's performance against quality, patient experience, and front office objectives. Key aspects include identifying trends, implementing process improvements, and maintaining consistent training for front office staff. Additionally, the Manager manages provider templates for large/multi-site clinics, coordinates with Patient Access and Front Office Processing to optimize patient access, and offers leadership support to the clinic in the absence of the Clinic Director.

Requirements

  • AA degree or currently enrolled in an undergraduate program that will result in a Bachelor’s degree.
  • A minimum of five years of supervisory/management experience in a customer-facing organization.
  • A minimum requirement of a valid BLS certification or higher, following the American Heart Association (AHA) or the American Red Cross guidelines.

Nice To Haves

  • Bachelor’s degree.
  • Healthcare front and/or back office setting experience (preferred for supervisory/management experience).
  • Bilingual English/Spanish/Mandarin/Cantonese, depending on location.

Responsibilities

  • Managing the day-to-day operations of the Front Office team.
  • Working closely and in collaboration with the clinic RN Manager.
  • Leading by example in meeting the expectations of patients, internal and external customers.
  • Ensuring the delivery of the highest quality patient experience.
  • Measuring the Front Office team's performance against quality, patient experience, and front office goals.
  • Identifying trends and implementing process improvements.
  • Maintaining consistent training for front office staff.
  • Maintaining the provider templates of a large/multi-site clinic.
  • Working closely with Patient Access and Front Office Processing to ensure appropriate access for patients.
  • Providing clinic leadership support in the absence of the Clinic Director.
