About The Position

We are seeking a highly organized and personable Front Office Coordinator - Periodontics to oversee daily administrative operations, manage patient flow, and ensure exceptional customer service.

Requirements

  • Minimum of 3 years dental front office experience (collections and scheduling experience required).
  • High school diploma or equivalent required.
  • Strong skills with scheduling software and Microsoft Office.
  • Strong knowledge of treatment planning, insurance coordination, and case presentation.
  • Experience presenting treatment plans to patients and discussing financial arrangements.
  • Experience coordinating with dentists and clinical staff and working directly with insurance providers.
  • Eligible to work in the United States.

Nice To Haves

  • Experience with dental software systems such as Dentrix, Eaglesoft, Open Dental, or similar preferred.
  • At least 2 years in a management or lead front office role within a dental office preferred.
  • Associate degree in business or office administration a plus.
  • Additional business or dental management training preferred.

Responsibilities

  • Supervise and support front desk team members, ensuring smooth daily operations.
  • Manage scheduling to optimize provider productivity and patient satisfaction.
  • Handle patient inquiries, check-ins, and check-outs professionally and efficiently.
  • Oversee billing, insurance verification, and collections processes.
  • Maintain compliance with HIPAA and OSHA regulations.
  • Answer phones promptly and professionally, turning inquiries into booked appointments.
  • Collaborate with dentists and clinical staff to create accurate and comprehensive treatment plans.
  • Present treatment options and financial arrangements to patients in a clear, compassionate, and professional manner.
  • Coordinate scheduling for multi-visit or complex treatment plans.
  • Track case acceptance, pending treatments, and patient follow-ups.
  • Work with insurance providers to maximize patient benefits and clarify coverage.
  • Monitor and report on key practice metrics (production, collections, case acceptance, etc.).
  • Manage financial agreements, payment plans, and insurance claims.
  • Support marketing efforts, recall systems, and patient retention initiatives.
  • Train and mentor front office staff on communication, software use, and patient experience best practices.
