We are seeking an exceptional Front Office & Client Experience Coordinator to be the face, voice, and first impression of our firm. The FO&CE Coordinator reports to the Chief Operating Officer and works closely with the Hospitality & Admin Teams. This role is inspired by the very best of hospitality, hotel concierge, and luxury service environments. Delivering hospitality is not a task—it’s a mindset. From the moment a client (external/internal), guests, vendor, interacts with the firm—whether in-person, by phone, or email - this individual ensures the experience is warm, polished, seamless, and memorable. This role owns the client experience in our reception area and sets the tone for everything that follows. This position requires extreme attention to detail, impeccable professionalism, a positive and “whatever it takes” attitude, and yes—an uncontrollable smile.

Requirements

  • Five (5) years of experience in the guest services, front desk, hospitality or related professional area.
  • Hospitality mindset: Prior experience in hospitality, hotel concierge, luxury service, or client‑facing roles strongly preferred.
  • Client‑first orientation: Genuine enjoyment of serving others and making people feel welcome.
  • Exceptional professionalism: Polished appearance, strong presence, and outstanding interpersonal skills.
  • Extreme attention to detail: Names, timing, presentation, and follow‑through matter—every time.
  • Positive & resilient attitude: Calm, upbeat, and solution‑oriented, even on busy days.
  • “Whatever it takes” approach: Willing to step in, help out, and go the extra mile - comfortable taking initiative and operating independently while also accepting direction as needed.
  • Strong communication skills: Clear, articulate, and warm—both in person and over the phone.
  • Discretion & judgment: Absolute respect for confidentiality and professionalism in a legal environment.
  • Tech comfort: Familiarity with Microsoft Office, calendaring & scheduling, phone systems, and other office technology.
  • Availability for extended hours during high volume seasons.
  • Strong commitment to punctuality and dependability is required.

Nice To Haves

  • Certificate or degree in Hospitality or Hotel and Restaurant Management, or related major, a plus.

Responsibilities

  • Efficiently manage day‑to‑day front‑of‑house operations, including answering phones and providing accurate information, with professionalism and discretion.
  • Serve as a consistent, friendly voice of the firm to clients (external/internal), guests, vendors, and the broader community.
  • Coordinate conference room scheduling and assist with meeting logistics, including technology, materials, and catering as needed.
  • Partner closely with attorneys and administrative staff to confirm appointments and support follow‑up communications.
  • Maintain a clean, organized, and always client‑ready front office, conference rooms, and client‑facing areas.
  • Conduct regular walkthroughs to ensure spaces are welcoming, stocked, and professionally presented.
  • Proactively identify opportunities to enhance the physical environment and overall client experience.
  • Demonstrate exceptional accuracy in names, titles, preferences, and schedules.
  • Anticipate needs of attorneys, staff, and clients and act proactively.
  • Uphold firm standards related to confidentiality, professionalism, and client care.
  • Support administrative and special projects as needed, always with a service mindset.
