About The Position

The Front Office Assistant performs a variety of clerical duties and front office operations in support of patient care activities, ensuring smooth patient flow and continuous communication within the department, referring physician offices, and organization staff. This role involves courteous interaction with patients, their family members or surrogate decision makers, and the public, adhering to established standards. Responsibilities include greeting visitors, answering telephones, potentially collecting copays, closing the cash drawer, and preparing month-end deposits. The assistant will collect initial demographic and clinical patient information, accurately entering it into the medical record, and compiling/preparing charts. Key duties also involve assisting with patient scheduling, including confirmations, cancellations, and rescheduling, and promptly communicating any schedule changes to all appropriate locations and individuals, including clinical staff and supervisors. The role requires maintaining accurate information and utilizing various software for scheduling, entering charges, finding and scanning documents, and accurately entering patient information. Ensuring patient charts have all required paperwork before procedures and ordering patient tests as directed by medical staff orders are also part of the duties. The position may require working in various departments as needed, assisting clinical staff with patients and family members, and always maintaining patient confidentiality. Participation in the continuous quality improvement process and performing other assigned duties are also expected.

Responsibilities

  • Follow through with prompt communication of schedule changes to all appropriate locations and individuals including clinical staff/Supervisors.
  • Maintain accurate information and utilize various software, including department specific programs, to schedule, enter charges, find and scan documents, and accurately enter patient information.
  • Ensure the patient chart has all the required paperwork prior to the patient’s procedure.
  • As directed by medical staff orders, perform patient tests to be performed as needed during patient stay.
  • Assist clinical staff as needed with patients and family members.
  • Always maintain patient confidentiality.
  • Participate in the continuous quality improvement process.
  • Perform other duties as assigned.
