About The Position

Greets clients at the reception desk and manages a multi-line telephone system for the Ambulatory Section. Provides intake and scheduling services for clients. This role involves learning about American Indian culture and attending cultural presentations/training annually, understanding and complying with HIPAA and other confidentiality regulations, and maintaining a professional, organized, and clean working environment. The position adheres to accreditation and compliance guidelines and performs duties in accordance with UIHS mission, vision, and guiding principles.

Requirements

  • Must be willing to learn more about the American Indian culture and attend at least one Cultural Presentation/ Training per year.
  • Understand and comply with HIPAA and other regulations concerning client confidentiality.
  • Customer service skills to include listening closely to client, provide clear verbal communication, ability to empathize with client, and understanding of organizational protocol and guidelines.
  • High School diploma or equivalent (Level I).
  • Experience in a medical setting preferred (Level I).
  • Three (3) years direct experience in a front office medical setting OR Associates Degree and two (2) years direct experience in a front office medical setting (Level II).

Responsibilities

  • Greet clients in a courteous and friendly manner.
  • Identify clients using at least two identifiers.
  • Answer the telephone courteously and efficiently, route calls, take accurate messages, and deliver them promptly.
  • Document calls in the client's chart.
  • Schedule and coordinate appointments, confirming them by telephone and mail.
  • Attempt to de-escalate client complaints and engage supervisors as needed.
  • Manage the client schedule system for optimal provider time utilization.
  • Communicate schedule changes and problems to Providers, FOA Supervisor, and Nurse Supervisor.
  • Obtain client information such as age, insurance coverage, and symptoms, and record it on prescribed forms.
  • Copy insurance cards and forward them to the billing office.
  • Provide client patient plan documents upon checkout.
  • Operate photocopiers, fax machines, and other office equipment.
  • Communicate with clinical staff to facilitate efficient client flow and meet client needs.
  • Communicate any emergency immediately to appropriate clinical staff and initiate codes as appropriate.
  • Scan client information to Electronic Medical Record if appropriate to clinic site.
  • Collect correct co-payments and balance the cash drawer daily if appropriate to clinic site.
  • Assist with distribution of client medications and maintain appropriate logs if appropriate to clinic site.
  • Provide general information about client care and answer the telephone.
  • Attend department and other assigned meetings.
  • Maintain a professional, organized, and clean working environment.
  • Adhere to accreditation and compliance guidelines/standards.
  • Perform all duties in accordance with UIHS mission, vision, and guiding principles.
  • Assist with training new staff (Level 2).
  • Assist in the development of departmental policy, procedures, and quality improvement activities (Level 2).
  • Assume independent responsibility for a specific clinical activity or function, such as coordinating client recall groups (Level 2).
  • Set up appointment schedules in the computer system (Level 2).
  • Maintain GSA logs and other routine logs, directing them to appropriate locations (Level 2).
  • Order office supplies (Level 2).
  • Manage room requisitions and coordinate meeting space allocation (Level 2).
  • Participate in accreditation preparation (Level 2).
  • Acquire customer service certifications/training related to the role (Level 2).
  • Partially cross-train to Medical Assistant, Client Records, or Member Services roles (Level 2).
  • Participate in leadership/management training (Level 2).
