About The Position

The Front Desk Supervisor oversees the daily operations of the health center’s front office to ensure exceptional patient service, efficient workflow, and accurate administrative processes. This role provides leadership to front desk staff, ensures compliance with clinic policies, and works closely with the billing department to support accurate charge capture, collections, and follow-up on outstanding balances.

Requirements

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum 2–3 years of medical front office experience, with at least 1 year in a supervisory or lead role.
  • Strong knowledge of medical insurance, billing processes, collections, and patient financial counseling.
  • Proficiency with electronic health records (EHR) and practice management systems.
  • Excellent communication, customer service, and conflict-resolution skills.
  • Ability to multitask in a fast-paced environment and maintain a high level of professionalism.
  • Strong attention to detail, organizational skills, and accountability.

Responsibilities

  • Supervise, train, and support front desk staff in all daily functions, including patient check-in/check-out, scheduling, insurance verification, and handling patient inquiries.
  • Monitor front desk workflow to ensure timely service, reduced patient wait times, and consistent adherence to policies and procedures.
  • Serve as the first point of contact for escalated patient concerns, responding professionally and promptly and in alignment with practice standards.
  • Oversee maintenance of patient records, forms, and required documentation to ensure accuracy and HIPAA compliance.
  • Oversee the accuracy of daily cash collections, copay processing, and reconciliation activities
  • Provide hands on support by performing reception duties - including check-in, scheduling, phone coverage, and insurance verification—during periods of staff absenteeism or staffing shortages.
  • Assist with reviewing daily charges for accuracy and completeness prior to billing submission.
  • Ensure front desk staff consistently follow established insurance verification, copay collection, and eligibility procedures.
  • Monitor, track and report on front-end collections, including copays, deductibles, self-pay deposits, and outstanding balances.
  • Work closely with clinical, billing, and management teams to promptly resolve issues and maintain efficient operations.
  • Support patient education regarding account balances, payment plans, and financial assistance processes and options.
  • Participate in month-end activities related to reconciling front-end collections.
  • Provide ongoing coaching, performance feedback, and support for front desk staff to promote accountability, engagement, and professional growth.
  • Assist with reviewing daily charges for accuracy and completeness prior to billing.
  • Assist with developing, updating, implementation and enforcing front office procedures to improve efficiency and patient satisfaction.
  • Monitor staffing levels and schedules to ensure adequate coverage and continuity of front office operations.
  • Collaborate with clinical and administrative leadership to support practice goals, compliance standards, and operational improvements.
