About The Position

This role is responsible for efficiently managing the day-to-day operations of the office. The Front Desk/Reception-Registration position requires effective communication, handling of mail and telephone communications, assisting with patient accounts receivable, maintaining records, coordinating patient flow, and maintaining a professional appearance. The position operates Monday through Friday from 8:30 AM to 5:00 PM, though hours may vary.

Requirements

  • High school education required.
  • Computer Data Entry experience.
  • Medical Admissions experience.
  • Cash Receipts and Balancing experience.
  • Knowledge of computers is required.
  • Experience in coordinating communications at a busy medical practice.
  • Excellent human relations skills.
  • Excellent oral communication skills.
  • Excellent written communication skills.
  • Ability to input data into computer programs.
  • Ability to answer telephones.
  • Ability to compose letters.
  • Ability to coordinate physician office patient flow.
  • Ability to conform to and refine office procedures.
  • Ability to establish and maintain filing systems.
  • Proficiency with PC and network systems.
  • Proficiency with calculator, FAX, and photocopier.
  • Ability to verbally communicate in a clear manner.
  • Normal hearing range.
  • Ability to express legible handwriting skills involving correct spelling of medical terms.
  • Normal sight for near and far vision and color perception.
  • Frequent handling with simple grasp and fine manipulation for typing and computer skills.
  • Ability to occasionally lift and carry 11-24 pounds.

  • Technical, business college or junior college business program graduate preferred.

Responsibilities

  • Communicate information to the Office Manager and practice physicians to promote smooth practice operations.
  • Attend mandatory and other job-related educational conferences.
  • Handle all incoming mail, including sorting and delivery.
  • Coordinate all telephone communications, answering calls courteously and efficiently, and responding to patient inquiries.
  • Assist in patient accounts receivable activities, including calculating final bills and collecting patient-owed balances.
  • Register new and existing patients into the Patient Information Management System.
  • Maintain required records, reports, and statistics.
  • Maintain an orderly work area and request/order supplies as necessary.
  • Coordinate office patient flow by scheduling appointments, managing patient movement from waiting to treatment areas, preparing appointment schedules, and rescheduling no-show or cancelled appointments.
  • Maintain professional appearance at all times.
  • Perform other duties as assigned.
