About The Position

Open Access Technology International, Inc. (OATI) is seeking a professional, customer-service-oriented Front Desk & Office Services Coordinator to support our Bloomington location. This role reports 100% on site and is essential in creating a welcoming environment for guests, including, employees, vendors, and VIPs, while ensuring smooth office operations. The starting salary range for the role ranges from $42,000.00 - $52,000.00. This role is ideal for someone looking for long-term growth in a professional setting. Requirements

  • Associate's degree (preferred) or equivalent experience
  • Strong attention to detail, organization, and multitasking skills
  • Proficiency in MS Office and professional phone etiquette
  • Ability to work independently and manage time effectively
  • Legally authorized to work in the U.S. without requiring sponsorship now or in the future
  • Ability to lift office supplies as needed
  • Work on site

Responsibilities

  • Manage meeting room reservations and ensure seamless event logistics
  • Answer and direct calls professionally
  • Assign badges to guests and new employees
  • Stock and manage office supplies
  • Assist the Talent Team
  • Coordinate shipments, deliveries, and vendor escorts
  • Support building security, monitor gate access, and report turnstile issues
  • Respond to alarms and document security concerns
  • Assist the Training Department with tracking registrations and participant lists
  • Send customer notifications via Outlook (reminders, confirmations, follow-ups)
  • Ensure meeting areas remain clean, organized, and event-ready
  • Oversee event setup, ensuring a seamless experience for VIP guests
  • Coordinate food orders for internal and external events, managing vendor and catering logistics, preparing requisition form
  • Maintain detailed documentation of training attendance and scheduling
