About The Position
Osborne Trails is a multi-acre active adult residential community that offers a wide range of amenities, including a state-of-the-art Retreat, natural spaces, trails, sports courts, pool, fitness center and classes, a variety of social activities, along with many clubs and organizations. We want you to be the one to help us provide this wide ranging and incredible activity hub for our Osborne Trails Owners. Primarily responsible for managing the front entrance and maintaining the reception desk, utilizing excellent customer service skills while greeting visitors and homeowners via phone and face-to-face. Light clean up after activities and events. Opening and closing duties. Nights and weekends.
Requirements
- Excellent customer service and communication skills.
- Ability to offer support to administrative support staff with ever-changing needs.
- Ability to elicit information from callers and visitors in a professional and efficient manner.
- Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
- Exceptional organization and tracking skills.
- Ability to function efficiently in a high volume, fast-paced environment.
- Ability to proficiently utilize computer programs and company database systems, including MS Office (Excel, Word and Outlook), internet and e-mail systems.
- Ability to interact and work positively and effectively with staff at all levels.
- Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
- Ability to work collaboratively and cooperatively within the department as well as with other departments.
Responsibilities
- Provides direct receptionist support to all on-site property needs by providing the highest quality customer service to inbound callers, visitors and vendors.
- Partners with Administrative Support team and the On-site Community Manager to effectively manage the front reception area and inbound calls as well as assist with various administrative projects.
- Filters inbound calls to determine appropriate direction.
- Greets all visitors/homeowners and determines their immediate needs.
- Monitors pickups/deliveries.
- Assisting with Groups and Clubs.
- Assisting with events.
- Keep Retreat tidy and organized.
- Spot clean as needed.
- Assist with Coffee Bar
- Assist in the stocking/restocking of water coolers and other areas of refreshments.
- Regularly tour amenities for homeowner well-being and safety.
- Performs other related duties as directed.
