About The Position

We are looking for an energetic, upbeat person who is looking for part-time work (<28 hrs/week) in a 55+ residential HOA community. The ideal candidate will be available to work weekends, flexible with hours (6am-1:30pm and/or 1:30pm-9pm) and work some holidays. Primarily responsible for answering the phone lines, providing administrative support for staff and management, managing the front entrance and maintaining the reception desk including registering residents for events and activities, cleaning/sanitizing work area and facilities as needed, and utilizing excellent customer service skills while greeting visitors and homeowners via phone and face-to-face.

  • Ability to elicit information from callers and visitors in a professional and efficient manner.
  • Ability to handle multiple tasks simultaneously, establish priorities, and meet deadlines.
  • Exceptional organization and tracking skills.
  • Ability to function efficiently in a high volume, fast-paced environment.
  • Ability to proficiently utilize computer programs and company database systems, including MS Office (Excel, Word and Outlook), internet and e-mail systems.
  • Ability to interact and work positively and effectively with staff at all levels.
  • Advanced communication skills (both verbally and written), and the ability to communicate with all levels of management and staff.
  • Ability to work collaboratively and cooperatively within the department as well as with other departments.

Responsibilities

  • Provides direct receptionist support to all on-site property needs by providing the highest quality customer service to inbound callers, visitors and vendors.
  • Partners with Administrative Support team and the On-site Community Manager to effectively manage the front reception area and inbound calls as well as assist with various administrative projects.
  • Filters inbound calls to determine appropriate direction.
  • Greets all visitors/homeowners and determines their immediate needs.
  • Monitors pickups/deliveries.
  • Assist with event set up and break down as needed.
  • Assist with event and activity registrations.
  • Cleaning/sanitizing work area and facilities as needed.
  • Performs other related duties as directed.
