About The Position

The Front Desk Manager is responsible for opening procedures, building readiness, and maintaining a welcoming and organized front desk environment. This role involves extensive customer service, communication, documentation, operational support, and administrative assistance to ensure the smooth daily functioning of the child care center. The position requires adherence to safety protocols, OCFS ratio compliance, and professional expectations.

Requirements

Responsibilities

  • Arrive at 6:00 AM and complete a full building walkthrough, unlocking all classrooms and ensuring the building is ready for staff and child arrival.
  • Check and update bulletin boards and family communication boards for accuracy and needed information.
  • Post daily menus, reminders, and classroom room numbers clearly for families.
  • Answer all external and internal phone calls promptly and professionally.
  • Greet parents, staff, children, and visitors warmly and respectfully.
  • Maintain a calm, organized, and welcoming front-entry environment.
  • Secure building access by monitoring the entrance and verifying identity for entry-release.
  • Manage and document all visitors according to center procedures.
  • Communicate updates, messages, phone calls, and student absences to classroom teachers in a timely manner.
  • Record relevant information in the center's communication documents.
  • Manage paperwork requiring signatures and ensure it is routed correctly.
  • Deliver messages, signed documents, and updates to the administrative team promptly.
  • Answer walkie-talkie communication and relay information clearly.
  • Maintain daily communication with the kitchen regarding meal counts, dietary notes, and any changes impacting food service.
  • Monitor Procare for ratio overages or staffing needs and support the movement of children or staff to maintain OCFS ratio compliance.
  • Assist with the movement of classrooms during outdoor play, walks, or transitions.
  • Provide classrooms with necessary materials for trips outside.
  • Assist with child transport, ensuring safe and organized transitions.
  • Update bulletin boards with classroom changes, staffing adjustments, and daily operational notes.
  • Maintain awareness of all emergency procedures and respond calmly.
  • Assist with fire drills and support emergency communication.
  • Ensure emergency postings and evacuation maps remain current.
  • Assist the Director and Assistant Director with daily administrative tasks.
  • Support the upkeep of administrative bulletin boards with staff notices and schedules.
  • Provide bathroom break coverage and occasional lunch break coverage for classroom staff.
  • Maintain professionalism and confidentiality at all times.
  • Demonstrate warmth, professionalism, and sound judgment.
  • Uphold CCDP/OCP policies.
  • Communicate clearly and respectfully with families, staff, and leadership.
  • Support a positive, collaborative workplace culture.
