About The Position

Abdoney Orthodontics is actively seeking a Front Desk Coordinator I to join their expanding team. This role is integral to the practice, focusing on customer interaction and administrative support. The coordinator will be responsible for greeting and receiving customers, ascertaining the purpose of their visit, and promptly notifying the relevant team members. Key administrative duties include welcoming visitors, providing information about clinic features, managing incoming calls by answering, screening, and routing them, and taking messages as required. The position also involves checking in new patients, collecting their initial information, and verifying insurance details. The coordinator will inform clinicians of patient arrivals, schedule appointments for returning patients, and print necessary documents such as appointment reminders and school/work excuses. Additional responsibilities include coordinating payment arrangements or account resolutions, handling incoming and outgoing shipments and mail, processing payments, updating patient charts and information, and actively driving internal marketing initiatives. The role also requires travel between different office locations. Requirements

  • Ability to communicate effectively verbally and in writing
  • Ability to listen and understand information verbally and in writing
  • Basic knowledge of Microsoft Office
  • Ability build rapport with patients
  • Ability to establish and maintain good working relationships with patients and coworkers

Responsibilities

  • Greets and receives customers, determines nature of visit, and notifies appropriate team member(s)
  • Performs various administrative duties
  • Welcomes visitors to the practice and provides information about clinic features
  • Answers, screens, and routes incoming calls and takes messages as needed
  • Checks-in and collects general information from patients on their first visit
  • Verifies insurance information
  • Notifies clinicians of patient arrival and readiness
  • Makes appointments for returning patients as necessary
  • Prints/reprints appointment reminders and school/work excuses
  • May make changes to the patient schedule as necessary
  • Coordinates payment arrangements or account resolution
  • Receives, stores, and delivers shipments and mail
  • Takes payments and posts to account
  • Updates charts and patient information
  • Drives internal marketing initiatives and fosters participation from everyone
  • Travel between office locations
