About The Position

Lifemark Physiotherapy Colchester is seeking a passionate and dedicated Front Desk Care Coordinator to join their team. This role focuses on fostering strong relationships between the clinic and its customers (patients, staff, funders, and referral sources) by providing efficient administrative support and coordinating clinic activities with friendly, enthusiastic, and professional service. The Front Desk Care Coordinator is responsible for patient intake, data entry, answering phones, outbound calling, managing faxes and emails, and handling invoicing and payments. Requirements

  • High School Diploma or equivalent required
  • Strong organizational and multitasking skills in a fast-paced environment
  • Excellent communication (verbal and written) and customer service skills
  • Proficient in computer systems, including Microsoft Office Suite
  • Flexible, adaptable, and responsive to changing priorities
  • Ability to work both independently and collaboratively as part of a team

Nice To Haves

  • Post-secondary education in Medical Office Administration or related field is an asset
  • Previous experience with EMR/Case Management systems considered an asset
  • Previous experience in a physiotherapy or multidisciplinary healthcare clinic is considered a strong asset

Responsibilities

  • Deliver a professional front-desk experience by managing calls, greeting patients, and addressing inquiries
  • Coordinate accurate patient intake and maintain up-to-date records throughout treatment
  • Assist patients with completing documentation to ensure accuracy and completeness
  • Schedule appointments and manage patient records efficiently
  • Collect payments at time of service and submit insurance claims to third-party funders
  • Perform data entry and billing in accordance with clinic procedures
  • Manage incoming and outgoing communications, including mail, courier, and fax
  • Provide administrative support to the Care Coordinator Manager and Clinic Director
