About The Position

The Front Desk Administrative Assistant will be responsible for efficiently managing the front desk operations, including routing incoming calls, handling mail and packages, ordering office supplies, and preparing client proposal packets. This role requires greeting visitors and assisting them with their inquiries, as well as managing outgoing and incoming mail and packages through FedEx and UPS. The assistant will also handle the scheduling and calendar management for meeting rooms.

Requirements

  • Proficient in MS Outlook, Word, Excel, and Adobe.
  • Excellent written and verbal communication skills.
  • Ability to multitask and be detail-oriented.
  • 1 year of administrative, receptionist, or customer service experience.
  • Experience with computers, Microsoft Word, and Excel at an entry level.

Nice To Haves

  • Bachelor's degree or associate's degree preferred.
  • Open to face-to-face customer service if holding a degree.

Responsibilities

  • Greet visitors and assist them with their inquiries.
  • Route incoming phone calls to appropriate employees (25-35 per day).
  • Manage all incoming and outgoing mail and FedEx/UPS packages.
  • Order office supplies weekly and maintain inventory.
  • Perform front-end scanning of paper mail, download documents from insurance carrier websites, and apply file naming conventions.
  • Assist with mail routing processes and cover calls for multiple locations when needed.
