I2X Technologies is seeking a Front Desk Administrative Assisatnt to support ongoing activities for a customer in Boulder, CO. This position will be on-site and will require US Citizenship with the ability to obtain a Secret/Top Secret Clearance. I2X Technologies is looking for a talented customer facing Front Desk Administrative Assistant to join our growing team! This position is Monday - Friday from 0700-1500 in person at our Boulder Ground Innovation Facility (BGIF). Work Location is Boulder/Gunbarrel area.

Requirements

  • Must be willing and able to obtain, maintain and/or currently possess a Secret security clearance.
  • Demonstrated ability to effectively work with and communicate with all levels of management and individual contributors on the program team.
  • Demonstrated ability to work with minimal supervision.
  • Excellent written and oral communication skills, including multitasking skills.
  • Proficient with Microsoft Office suite of tools.
  • US Citizenship is required.

Nice To Haves

  • An active clearance would be preferred.
  • 2+ years of relevant experience.
  • Understanding of Project Management processes.
  • Use of web calendering and organization tools.

Responsibilities

  • Provide front desk and administrative support to all customers and tenants of the facility to include Facility Managers, Government Leads, and program personnel.
  • Assist program personnel with site access, event planning and coordination, visits/tours within the facility, and administrative support to the overall organization.
  • Greet and proactively develop and manage vendor and customer relationships ensuring expected service levels are achieved or exceeded.
  • Coordinate and verify Visitor Access Requests (VAR) with the Site Security team and Facility Security Officers, verifying visitor clearances and administering security badges at the front desk.
  • Provide event support consisting of forms verification, pre and day-of arrival coordination.
  • Support the full life cycle of events from inception, client collaboration and scheduling to implementation for experiences ranging from meetings to large-scale demonstrations and symposiums, and update calendars for as many as 10 events per week in meeting and event spaces across Lab spaces.
  • Serve as a point of contact for general government team and contractor team support, answering questions and directing personnel to the correct resources within the organization, and daily calendar deconfliction.
  • Manage personnel "care and feeding" activities such as sending get well/sympathy/congrats cards, coordinating farewell parties, creating farewell plaques, and coordinating happy hours.
  • Provide general support of the facility, including managing forms, stocking coffee/snacks in break rooms, submitting facility requests for janitorial services with various departments, and ordering supplies.
  • Provide calendar and communications support.
  • Manage org charts, distribution lists, and personnel directories.
