About The Position

The Freight Coordinator supports the efficient movement of cargo through transloading operations by handling documentation, communication, and coordination across operations and support teams, customers, and business partners. The primary objectives are to coordinate accurate and timely cargo handling through effective processing of work orders, maintain clear and consistent communication with customers, vendors, and operations teams, support operational readiness by aligning documentation and schedules with cargo arrival timelines, and maintain accurate records to support billing, inventory, and compliance.

Requirements

  • High school diploma or equivalent (HSED) required
  • 1+ year warehouse, data entry, customer service, or related experience required
  • Knowledge of freight transportation and warehouse operations.
  • Excellent customer service skills with the ability to develop effective professional relationships.
  • Strong problem solving and multi-tasking skills.
  • Excellent verbal and written communication skills.
  • Ability to enter and review data with a high degree of accuracy.
  • Proficiency with office-related tasks such as filing, faxing, scanning, and mailing.
  • Demonstrated basic level proficiency with Microsoft Office tools including Excel, Word, and Outlook.

Responsibilities

  • Enter and prepare work orders in proprietary systems with complete and accurate instructions for dispatch, operations, and vendors.
  • Coordinate cargo movement based on export bookings and import documentation, including container release, rail moves, and terminal returns.
  • Print and distribute required paperwork to operations prior to cargo arrival and relay upcoming volumes to dispatch and management.
  • Provide timely updates to customers throughout the transloading process and send final documents by required cut-off times, including all necessary information to support documentation and Customs compliance.
  • Update account records, customer databases, and inventory logs.
  • Respond to delays or issues affecting work order completion, including equipment, booking, or carrier problems and take immediate action to resolve customer complaints or operational disruptions.
  • Notify customers of cargo issues such as damages or shortages and request handling instructions.
  • Communicate professionally via email and phone to provide accurate and current information.
  • Prepare billing for completed work orders, applying correct tariff or contractual rates, and assist with invoice corrections.
  • Coordinate inspections with government entities when required or requested.
  • Other duties as assigned.
