About The Position

The Franchise Service Administrator is responsible for providing administrative activities supporting numerous functions within the Franchise Service Department. This role involves managing databases, preparing agreements, ensuring compliance, and assisting with various projects and training sessions.

Requirements

  • Associate degree or equivalent in experience.
  • Minimum 3 years’ Administrative/Customer Service experience.
  • Analytical as well as skilled in problem solving.
  • Highly organized, service and detail oriented.
  • Excellent written and verbal communication skills.
  • Proficient using Microsoft software to include Word, Excel and Database Applications.
  • Computer literate with the ability to learn new technology and applications.
  • Ability to communicate, read and write English.

Responsibilities

  • Manage multiple information databases.
  • Create and maintain spreadsheets and databases.
  • Prepare, execute, and maintain Franchise Agreement Renewals.
  • Prepare, execute, and maintain Permitted Representative Agreements.
  • Assist in Permitted Representative and Franchise terminations.
  • Using ERP, pull from various points of data for analysis and reporting.
  • Own process for year-end Franchise Awards by organizing sales tier data, ordering and distributing awards.
  • Manage Certificates of Insurance, work with Broker to obtain & maintain customer, franchise, & other COI’s.
  • Oversee and enforce Franchise compliance of General Liability & Auto insurance coverage.
  • Complete new customer - vendor registration packets for customers.
  • Set-up & maintain customer portals for business requirements & compliance.
  • Assist Director in Franchise transfers & buy-outs.
  • Run reports & compile data as needed.
  • Copy, scan, and file documents as required.
  • Oversee the records, files, and archives for department – Transfer all to digital, then maintain.
  • Own & manage the Franchise Services email.
  • Assist with meetings and new franchise training sessions.
  • Ensure conference room refrigerators are stocked on a weekly basis.
  • Maintain all related Standard Operating Procedures (SOPs).
  • Actively participate in department, managerial and company meetings as requested.
  • Provide new services or support new activities as required.
  • Other short- and long-term projects relating to the Franchise business.
  • Other duties as needed and assigned by Manager.
