About The Position

Malama Health is seeking a hands-on, detail-oriented HR professional to manage HR operations across a multi-entity structure, including a Delaware C Corp MSO and two affiliated medical practice entities. This role involves ensuring payroll accuracy, administering benefits, managing compliance, and optimizing HR systems. The ideal candidate is a senior HR professional who can work independently, proactively identify HR needs, and is willing to handle detailed tasks such as payroll systems, state compliance, and multi-entity setups. This position offers the opportunity to set direction, execute details, and grow with an early-stage healthcare company focused on improving pregnancy-related outcomes.

Requirements

  • 5+ years of HR/People Operations experience.
  • Experience with payroll administration.
  • Experience with multi-state compliance.
  • Ability to work independently, prioritize a broad project list, and drive issues to resolution.
  • Strong communication skills for cross-functional collaboration with founders, finance, and outside counsel.
  • Detail-oriented with a focus on building clean, repeatable processes.

Nice To Haves

  • Experience with Rippling or similar HRIS/payroll platforms.
  • Familiarity with an MSO/PC structure.
  • Mission alignment and/or healthcare background.

Responsibilities

  • Administer HR/payroll platform (Rippling) across all entities, managing access and evaluating add-on services.
  • Ensure accurate payroll deductions and tax treatment.
  • Manage payroll processing in partnership with vendors.
  • Administer employee health benefits, including eligibility, enrollment, and stipend alternatives.
  • Ensure proper connection between payroll and benefits systems and correct deduction configurations across entities.
  • Manage state registrations (SUI, EDD, etc.) for new state hires.
  • Own the resolution of compliance issues and claims (e.g., disability claims, unemployment filings), coordinating with legal counsel and vendors.
  • Maintain accurate records of logins, filings, and documentation.
  • Partner with outside legal counsel and accounting/tax firms on employment compliance matters.
  • Educate managers and employees on hourly reporting requirements and meal/rest break compliance.
  • Systematize hour-reporting deadlines and reduce off-cycle payroll runs.
  • Support and drive adoption of expense reimbursement policies and processes.
  • Maintain employee files, offer letters, and contracts (W-2 and 1099).
  • Serve as a point of contact for the HR inbox, especially for state agency communications.
  • Participate in team communications (Slack) to stay informed about People-related needs.
  • Coordinate payroll cycles with finance/ops stakeholders.
