About The Position

The Foundation and Legacy Giving Associate (Associate) plays a pivotal role in raising $3 million annually for the Fine Arts Museums from foundation and government sources, and supporting long-term institutional revenue growth through stewardship of Legacy Society donors. Reporting to the Associate Director of Foundation and Government Giving (AD), the Associate will provide administrative and grant preparation support for foundation and government donors, manage prospect research and grant reporting, and track grant deadlines. The Associate will also be responsible for helping the AD in implementing a stewardship and marketing strategy to retain and increase participation in our Legacy Society.

Requirements

  • A Bachelor’s degree from an accredited college or university.
  • Two years of progressively responsible experience in a development department.
  • Grant writing experience preferred.
  • Professional phone manner and the ability to deal courteously and effectively with donors, the public, and staff.
  • Excellent organizational, writing, and communication skills.
  • Familiarity with proofreading and editing preferred.
  • Knowledge of research techniques and resources used in institutional giving.
  • Experience with relational databases, preferably Salesforce CRM.
  • Proficiency with Microsoft Office and G Suite software programs.
  • Familiarity with budgeting and preparing financial statements preferred.
  • Ability to work across departments to gather information and materials.
  • Ability to produce work that exhibits a high degree of accuracy and detail.
  • Experience with record keeping.
  • Ability to maintain strict confidentiality and work independently with minimal supervision.
  • Knowledge of principles, methods, and practices of the development profession.
  • Self-motivated, highly organized, and deadline-driven. Ability to thrive in a fast-paced environment.

Responsibilities

  • Partners with the AD on grant proposal preparation, including being the primary author on some proposals and performing other grant-related tasks (writing, proofreading, creating budgets, gathering data from various departments, and coordinating attachments) for foundation and government donors.
  • Manages grant reporting. Drafts report narratives, works with the finance department to create financial statements, and prepares necessary attachments.
  • Maintains the grant calendar and tracks all deadlines related to foundation and government proposals and reporting.
  • Manages prospect identification and research, helping to build and manage a robust pipeline of prospects.
  • Maintains donor records in Salesforce CRM to reflect ongoing research, cultivation, solicitation, and stewardship activities.
  • Works with Development colleagues and Data Information Services (DIS) to ensure timely and appropriate gift processing and data entry. Prepares invoices, pledge forms, and acknowledgment letters for foundation, corporate, and government grants.
  • Assists with stewardship and cultivation of foundation and government funders via tours, meetings, and events.
  • Assists in the preparation of materials to be used by development staff for exhibition and special project fundraising.
  • Performs other related administrative duties as needed in support of the division.
  • Provides administrative support for incoming estate gifts, including scanning and filing trust documents, completing required forms, and tracking estate status in Salesforce CRM.
  • Implements stewardship strategy for Legacy Society donors, including outreach such as thank-you letters and museum updates.
  • Drafts email campaigns and marketing copy, works with Data Information Services to prepare email lists, and summarizes campaign data for Legacy Society solicitations.
  • Assists with planning and day-of logistics for Annual Legacy Society Tea & Lecture. Supports other Development events as assigned, including on nights and weekends.
  • Comprehensively tracks all legacy gift donors and prospects in Salesforce.
  • Adheres to processes that address acceptance, management, and disposition of legacy gifts.
  • Performs other related administrative duties as needed in support of the division.
