About The Position

Forsyth Summer Discovery is an extension of Forsyth School's experience, offering a balance of structure and freedom for children aged 3 through Grade 7. The program provides a largely "unplugged" experience with a neighborhood feel, featuring 8 one-week sessions with diverse themes that allow campers to explore various activities like art, engineering, filmmaking, science, and more. It's a place for children to play, try, make, be, and do in different environments such as high ropes courses, science labs, stages, gardens, and fields.

Responsibilities

  • Assist with the development and coordination of the annual summer camp program.
  • Work with the Co-Director, camp leads, and school personnel to develop a diverse range of camp offerings for different ages and interests.
  • Establish appropriate enrollment caps and waitlists based on program needs, staffing, and safety considerations.
  • Develop and monitor the summer camp budget in collaboration with the Business Office.
  • Maintain organized records of camp income, expenses, registrations, and other program information.
  • Build and maintain the annual CampBrain registration site, including camp descriptions, pricing, grade levels, schedules, and policies.
  • Coordinate registration launches and enrollment periods.
  • Monitor enrollment and work with the Marketing team to promote camps as needed.
  • Process registrations, payments, cancellations, and refunds.
  • Monitor payment plans and follow up with families regarding outstanding or declined payments.
  • Respond promptly and professionally to camp-related emails and questions.
  • Communicate regularly with families before and throughout the summer, including weekly camp information and reminders.
  • Lead the recruitment and rehiring of camp counselors and leads.
  • Work with Human Resources to ensure all staff are appropriately hired and onboarded prior to the start of camp.
  • Create and maintain counselor schedules.
  • Coordinate mandatory staff meetings and pre-camp preparation.
  • Review staff timecards for payroll.
  • Provide ongoing support to camp leads and counselors throughout the summer.
  • Coordinate the operational details necessary for each camp session.
  • Prepare camper rosters, allergy and emergency information, aftercare lists, name tags, check-in materials, and other camp documentation.
  • Help coordinate the Camp Open House/Meet & Greet for camp families.
  • Purchase and organize camp supplies, snacks, and other materials based on program needs and lead requests.
  • Ensure camp leads have the information and materials they need to successfully run their programs.
  • Help address and resolve situations involving campers, families, staff, schedules, supplies, and other day-to-day camp operations.
  • Process payments, refunds, purchasing requests, and other administrative tasks throughout the summer.
  • Collaborate closely with the Camp Co-Director for Programming & Operations.
  • Work with the Assistant Head of School for Strategic Initiatives, Business Office, Human Resources, Marketing, school leadership, camp leads, counselors, and other school personnel to ensure a well-organized and successful summer camp program.
