About The Position

The Food Sourcing department is responsible for enacting various strategies across the food system to acquire both non-perishable and perishable food to meet our neighbors’ needs. This team develops ongoing relationships with various food vendors and food donors to source food. The Food Industry Coordinator’s main duties are to assist the Manager, Food Industry and Government Commodities with the vetting, transporting, and receipt of Food Industry donations. This role requires flexibility due to donor needs and Philabundance events.

Requirements

A minimum of 2 years of experience in administration, customer service, logistics or purchasing within a cohesive effective team environment.
Ideally in role involving high people contact and problem solving.
Experience working in a team environment where solutions, teamwork and collaboration were heavily utilized to meet a goal. This could be in a work, academic, volunteer or project environment.
Experience communicating or public speaking with a diverse audience with the intent to achieve action and influence.
Experience managing projects or activities with competing priorities.
Experience tracking projects or activities which include deadlines, collaboration, multiple contacts, follow up and multiple locations.
Excellent interpersonal skills: ability to build strong relationships and work collaboratively with individuals and teams internally and externally.
Provide timely effective responses.
Ability to negotiate, problem solve and create solutions with tight timelines and unexpected situations.
Must have strong attention to detail and deadlines.
Ability to work with program or project requirements.
Strong administrative capability to work with databases, produce reports, communication, analysis and present internally and externally. (Microsoft suite, ppt, database exp. and Zoom/Teams)

Nice To Haves

High School Diploma or GED preferred.
Extended Degree in Supply Chain, Business or Social Services strongly preferred.
Serve Safe Certification preferred.
Experience in a grocery or food distribution industry preferred.
Previous experience working with low-income or other transitioning community of people highly preferred.
A robust knowledge of the issues facing people living at or near the poverty line, recovery, and reentry into the work force highly preferred.
Knowledge of food distribution, logistics and handling a plus.
Knowledge of Quality Control, OSHA and safety requirements highly preferred
Experience speaking within communities using multiple languages a plus.

Responsibilities

Assist Manager, Food Industry and Government Commodities as needed to develop and foster ongoing relationships with Food Industry donors through phone/email communication
Monitor Donate Food email inbox to react quickly to any incoming food donation offers
Create, update, and maintain all systematic Donor Information as needed
Create, update, and maintain all systematic Donation Orders (DOs) as needed
Work with Manager, Food Industry and Government Commodities to monitor amount of donated product in the warehouse and balance that with incoming and outgoing inventory
Collaborate across departments to ensure best practices are followed to effectively steward food donation relationships; assist Manager Food Industry and Government Commodities with cultivating donor relationships and opportunities as needed
Work across departments with Community Partnerships, Transportation, Inventory Control/Quality Control, and Warehousing as needed for all incoming Food Industry donations
Professionally represent Philabundance while working with Food Industry donors and other external organizations
Trouble-shoot to quickly resolve any Food Industry donor issues as they arise, including support between Warehousing, Transportation, and Third-Party Logistic Partners
Support Food Industry team to build relationships with food industry partners and business community members
Assist Warehousing and Inventory Control/Quality Control teams as needed to maintain effective and efficient receiving practices, standard operating procedures including but not limited to donor and product identification, accurate product counts, and safe product handling
Ability to leverage work habits to incorporate efficiencies, prompt response, data analysis and organizational requirements.
Manage the integrity and timely reporting required with donors and partners
Execution of competing priorities with consideration for complex needs such as location, temperature, and capacity.
Strong and creative problem resolution is expected; coordinate with internal departments and collaborate with agencies as needed to reach goals.
