About The Position

The Food & Beverage Coordinator is a part-time position that is responsible for overseeing all concessions and bar operations at the Fair Oaks Performing Arts Center. This role ensures high-quality, efficient and compliant service during events, including managing inventory, staffing, and vendor coordination. The ideal candidate is detail-oriented, customer-focused, and experienced in food and beverage operations in a fast-paced event environment.

Requirements

  • 2+ years of experience in food & beverage management or similar role
  • Valid ServSafe Manager certification and RBS certification (or ability to obtain upon hire)
  • Knowledge of local health and safety regulations related to food and alcohol service
  • Strong organizational and communication skills
  • Ability to work flexible hours, including evenings, weekends, and holidays as needed
  • Must pass background check and possess reliable transportation
  • Knowledge of food and beverage service operations in event or performing arts venues, including point-of-sale systems, inventory management, alcohol service compliance, and customer service best practices.
  • Understanding of safety, sanitation, and local health regulations is essential.
  • High school diploma or general education degree (GED); and/or six months of related experience in food & beverage service or hospitality.
  • 1–2 years of experience in concessions, catering, or food and beverage management, preferably in a live event or performing arts setting.
  • Supervisory experience preferred.
  • All applicants must be fingerprinted and pass a pre-employment background check.
  • Valid ServSafe Manager certification and RBS certification are required or must be obtained upon hire.
  • Reliable transportation to and from work is required.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.
  • Ability to perform these operations using units of American money and weight measurement, volume, and distance.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Must possess and maintain a valid California class C driver's license, proof of personal vehicle insurance, and a satisfactory driving record are required.
  • Knowledge of basic office equipment should include Internet and email, copy and fax machines, postage meter, telephone, and answering machine.

Responsibilities

  • Oversee all food and beverage operations for performances, rentals, festivals, special events, and District programs, including concessions, bar service, hospitality, and catering coordination.
  • Hire, train, schedule, supervise, and evaluate part-time staff, bartenders, concession workers, and volunteers.
  • Ensure compliance with all applicable health codes, California ABC regulations, Responsible Beverage Service (RBS) requirements, permits, and District policies.
  • Coordinate artist, performer, VIP, sponsor, and guest hospitality, including dressing room hospitality, catering, backstage refreshments, and special requests.
  • Serve as the primary liaison for food and beverage services with vendors, caterers, breweries, wineries, sponsors, promoters, renters, and event organizers.
  • Order, receive, store, track, and manage inventory of food, beverage, hospitality, and concession supplies; conduct regular inventory counts and maintain inventory control systems.
  • Develop and implement concession menus, beverage offerings, pricing strategies, and promotional programs that support revenue generation and enhance the guest experience.
  • Forecast inventory, staffing, and purchasing needs based on event schedules, attendance projections, and historical sales data.
  • Coordinate the setup, operation, and breakdown of concession stations, bars, hospitality areas, and mobile beverage service locations.
  • Operate and reconcile point-of-sale systems; oversee cash handling, deposits, financial controls, event settlements, and post-event reporting.
  • Develop, implement, and maintain standard operating procedures for food and beverage, hospitality, and concession operations.
  • Collaborate with District staff, promoters, renters, and community partners to support successful event operations and exceptional patron experiences.
  • Ensure high standards of customer service, cleanliness, organization, sanitation, and safety throughout all food and beverage service areas.
  • Maintain concession equipment, bar equipment, storage areas, and related facilities in a safe, organized, and professional manner.
  • Assist in preparing operating budgets, revenue projections, financial reports, and performance metrics related to food and beverage operations.
  • Perform other related duties as assigned.
