About The Position

Under the direction of the Families Forward Clinical Coordinator, performs a wide variety of secretarial and support tasks requiring proficiency in computer use, particularly Excel. Duties include investigating, organizing, and summarizing data for Families Forward, taking meeting notes, and supporting the front desk by screening calls, assisting visitors, and processing reimbursements. The role also involves coordinating intake paperwork, workflow, and tracking for programming, organizing new hire packets and training materials, and scheduling meetings. The Float Secretary is responsible for carrying out all activities in a manner that fulfills CMHA-CEI's mission, policies, and procedures. Requirements

  • Possession of a High School diploma or G.E.D. equivalency.
  • A minimum of two years secretarial experience or equivalent.
  • Must be able to pass a Microsoft Word and Excel exam with a proficient score.
  • Proficient in Microsoft Word is required.
  • Knowledge and experience of Excel is required.
  • The ability to gain proficiency in Smartcare, the agency software that tracks statistical data, services rendered and bill for services is required.
  • Ability to communicate accurately and effectively both in writing and verbally is required.
  • Must be able to pass pre-employment drug screen.

Responsibilities

  • Investigating, organizing, and summarizing data for Families Forward.
  • Taking staff meeting and other meeting notes.
  • Supporting front desk duties, including screening and routing telephone calls.
  • Assisting walk-in consumers and other visitors by ascertaining needs or referring to appropriate staff.
  • Performing reimbursement processes.
  • Coordinating intake paperwork, workflow, and tracking for programming.
  • Organizing new hire packets and training material.
  • Scheduling meetings.
  • Carrying out all activities of the program/sub-unit in a manner that fulfills CMHA-CEI mission, policies and procedures.
