About The Position

The Fleet & Transportation Administrator is responsible for managing key administrative functions that support transportation, fleet compliance, and logistics operations. This role ensures accurate freight payment processing, oversees fleet registration for leased tractors, manages forklift fleet compliance, and coordinates export documentation. Additionally, the position handles customer deduction approvals and supports overall operational efficiency within the supply chain.

Requirements

  • 2–4 years of experience in transportation administration or fleet management.
  • Strong working knowledge of transportation, logistics, and fleet management operations, including freight payment processes, carrier contracts, and compliance requirements.
  • Familiarity with DOT regulations, fleet registration requirements, and safety/compliance standards for transportation and material handling equipment.
  • Experience with export documentation and international shipping requirements, including customs and trade compliance.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, OneNote) and enterprise systems such as SAP or similar ERP platforms.
  • High level of accuracy and attention to detail when reviewing invoices, documentation, and compliance records.
  • Strong analytical and problem-solving skills with the ability to investigate discrepancies and implement timely resolutions.
  • Excellent organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Review and approve freight invoices for accuracy and compliance with contracts.
  • Collaborate with carriers and finance teams to resolve discrepancies.
  • Analyze and validate customer deductions related to freight and logistics.
  • Work with customer service and finance to ensure timely resolution.
  • Maintain registration and compliance records for leased tractors.
  • Ensure adherence to DOT and state regulations.
  • Prepare and verify export documents for international shipments.
  • Ensure compliance with customs and trade regulations.
  • Track and manage forklift fleet maintenance schedules.
  • Coordinate safety inspections and compliance documentation.
  • Perform all other duties as assigned.
