The Fleet Specialist will work with the Home Building Group, Home Office, and Field Operations to enhance the safety and regulatory compliance culture by lending support. The Fleet Specialist will assist in developing and maintaining processes to keep the department on track with its responsibilities. The Fleet Specialist will be responsible for various administrative tasks such as; vehicle registration, tax filings, accident claims tracking, and other ad-hoc tasks as needed.

Requirements

  • Bachelors’ degree or equivalent in related fields
  • Knowledge/understanding of FMCSA/DOT regulations and requirements.
  • Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements.
  • Prior experience in managing multiple tasks in a fast-paced environment is strongly preferred.
  • Strong communication skills both verbal and written.
  • Proficient in computer skills including data entry and Microsoft Office.
  • Great attention to detail and organizational skills.
  • Ability to work in a team environment.
  • Strong analytical and problem-solving skills.
  • Organize and prioritize a variety of tasks and projects.
  • Highly motivated, energetic, strong sense of urgency to meet goals and deadlines.
  • Must be able to travel as needed.

Responsibilities

  • Assists in administrating and coordinating motor vehicle fleet operations.
  • Maintains department records and produces Transportation Safety & Compliance reports.
  • Conducts and supports field audits for compliance with FMCSA, DOT, and Company Transportation Policies
  • Prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting.
  • Assist in the development of and management of accident claims tracking and follow-up.
  • Assist in developing and updating company policy and procedures.
  • Identifies, contributes, and implements process improvements.
  • Maintains communication with department managers, driver managers, and drivers as needed.
  • Supports the program health and daily oversight of safety technology initiatives – ELD, Critical Event Recorders
  • Supports Driver Qualification (DQ) file compliance.
  • Manages various state, local and federal tax filings.
  • Supports vehicle procurement and registration.
  • Collects and Analyze Accident and Collision Data
  • Ensures compliance with federal, state, county and local government rules and regulations.
  • Coordinates repairs and preventative maintenance scheduling that support fleet vehicle, company, and regulatory requirements.
  • Engage with HR, Compliance, Safety, and Technology teams to support hiring, onboarding, and policy enforcement.
  • Lead internal audits and manage documentation for DOT and ISO compliance, including coordination with external auditors and regulatory agencies.
  • Assist with safety training, content, and communication programs.
  • Supports vehicle insurance requirements.
  • Assists on various transportation projects.
  • Performs other duties as assigned.
