About The Position

The Fleet Maintenance Specialist supports the daily operations and readiness of the organization’s vehicle and equipment fleet. This role monitors, schedules, performs, and documents preventive and corrective maintenance; completes minor in-house repairs; and coordinates vendor services. The position requires hands-on mechanical aptitude, safe operation of vehicles/trailers, and dependable performance during routine work and emergency responses.

Requirements

  • Working knowledge of small/large engine maintenance and basic troubleshooting.
  • Ability to diagnose straightforward issues and execute efficient, high-quality repairs within scope.
  • Knowledge of shop safety practices, PPE, and safe materials/storage handling.
  • Strong organization and time management; able to plan, prioritize, and meet timelines.
  • Professional communication (oral/written) and accurate documentation.
  • Comfortable with computers and fleet systems; proficiency in Microsoft Office.
  • Detail orientation, service mindset, and steady performance under operational tempo.
  • Strong working knowledge of ICS/NIMS and emergency management doctrine.
  • Proven ability to work under pressure and maintain accountability in high-tempo environments.
  • Physical ability to work in austere field conditions, including lifting 50 lbs. and working extended shifts (14–21 days).
  • Ability to work independently and as part of a multidisciplinary IMT, exercising sound judgment in dynamic, resource-constrained environments.
  • Must be legally authorized to work in the U.S., hold a valid driver’s license, and pass a federal background check.
  • Commitment to professional conduct and adherence to National EMR policies, safety standards, and regulatory compliance.
  • High school diploma or equivalent required.
  • Minimum of 1-3 years in vehicle maintenance, fleet operations, or related shop environment.

Nice To Haves

  • Associate degree or trade school in automotive, diesel, logistics, or related field preferred.
  • Certifications: ICS-300 and ICS-400 are preferred at the time of hire. If not already completed, both must be obtained within 90 days of hire.
  • Candidates without a CDL-A must be willing to obtain one as a condition of employment within the first year of employment (employee-supported).
  • Experience with fleet management software (e.g., Fleet IO) preferred.

Responsibilities

  • Perform and document scheduled inspections, fluid checks, tire changes/rotations, and other PM tasks across vehicles, trailers, and small equipment.
  • Complete basic diagnostics and light repairs in-house; coordinate advanced repairs with approved vendors.
  • Maintain response readiness of all fleet assets for non-notice and planned events; support demobilization rehab (wash, PM, inventory) upon return.
  • Schedule service appointments: update the maintenance system of record with work performed, parts used, mileage hours, and next-due intervals.
  • Source quotes, create POs, coordinate transport, and track invoices; escalate cost variances to their chain of command.
  • Assist with required records for commercial vehicles and drivers in alignment with DOT and company policy.
  • Conduct weekly inspections and safe road tests as authorized.
  • Provide live status updates and recurring reports on fleet readiness to leadership.
  • Safely hitch, load, secure, and transport trailers/equipment; operate forklifts, pallet jacks, and hand trucks as trained/authorized.
  • Participate as a core member of the Incident Management Team (IMT); complete required training and serve during activations.
