We are seeking an experienced Fleet Safety & Compliance Analyst to lead, administer, and continuously enhance the Company’s fleet safety, DOT compliance, and driver regulatory programs across our multi-state operations. This role serves as the internal subject matter expert for DOT, FMCSA, and transportation safety regulations, partnering closely with Operations, HR, EHS, and local leadership to ensure consistent compliance, effective driver onboarding, proactive risk mitigation, and data-driven safety performance improvements.

Requirements

  • 5+ Years of progressive experience in DOT/FMCSA Compliance, Fleet Safety programs (CDL & Non CDL), Multi State operations, Incident management, audits and corrective action.
  • Bachelor’s degree in Safety, Transportation, Business, or related field, or equivalent experience.
  • DOT Drug & Alcohol program administration experience.
  • Experience supporting multi‑state or multi‑location fleet operations.
  • Familiarity with ADP, Tenstreet, or similar HRIS, DOT, and driver record management systems.
  • Strong working knowledge of DOT, FMCSA, and multi‑state transportation safety regulations.
  • Proven experience administering DOT compliance programs, Driver Qualification Files, HOS, and fleet safety systems.
  • Experience with telematics platforms (e.g., Geotab) and safety data analysis.
  • Demonstrated experience managing accident investigations, root cause analysis, and corrective action planning.
  • Strong analytical, organizational, and documentation skills.
  • Ability to influence and partner effectively with Operations, HR, EHS, and field leadership.
  • Occasional travel  (10%-15%).

Responsibilities

  • Administer and maintain all third‑party systems supporting DOT compliance, fleet safety, hours of service (HOS), and regulatory reporting.
  • Serve as primary administrator for DOT‑related fleet credentials and regulatory filings, including DOT decals, Heavy Highway Vehicle Use Tax (HVUT), Unified Carrier Registration (UCR), and biannual FMCSA MCS‑150 updates.
  • Manage the full lifecycle of vehicle documentation, including titles, registrations, insurance card distribution, and maintenance of accurate fleet and equipment records.
  • Administer fuel‑related programs, including fuel/gas cards, toll pass management, and monthly IFTA reporting for owned vehicles.
  • Oversee and administer Driver Qualification Files (DQFs) in ADP, ensuring accuracy, completeness, and compliance with DOT retention requirements.
  • Manage DOT medical certification renewals, driver’s license renewals, annual Motor Vehicle Record (MVR) reviews, and FMCSA Clearinghouse compliance.
  • Conduct periodic audits of driver files and compliance records to ensure regulatory readiness.
  • Administer DOT Drug & Alcohol testing programs, including pre‑employment, random, post‑accident, reasonable suspicion, and return‑to-duty testing.
  • Maintain compliance with FMCSA Drug & Alcohol Clearinghouse requirements and reporting.
  • Partner with HR, EHS, and Operations to support reasonable suspicion processes, documentation, and required supervisor training.
  • Administer Geotab and related safety platforms, including monitoring HOS compliance, safety scores, driver behavior trends, and maintaining accurate driver safety history.
  • Analyze fleet safety, compliance, and incident data to identify trends, emerging risks, and improvement opportunities.
  • Develop data‑driven insights and recommendations to reduce incidents, improve driver behavior, and enhance overall fleet safety performance.
  • Lead vehicle accident management processes, including incident intake, investigation, documentation, and participation in the accident review committee.
  • Serve as the lead for Root Cause Analysis (RCA) related to vehicle accidents, ensuring accurate identification of contributing factors and development of corrective and preventive actions.
  • Maintain and update driver safety history and point assessments following incidents.
  • Lead the coordination, delivery, and ongoing evaluation of driver safety and DOT compliance training programs across CMV and non-CMV fleets.
  • Actively assess and determine training needs based on data analysis, incident trends, driver behavior concerns, audit findings, and regulatory changes.
  • Partner with Operations and HR to recommend and implement targeted training, refresher courses, and corrective coaching as risks or performance issues are identified.
  • Develop, implement, and maintain fleet safety and DOT compliance policies and procedures, ensuring alignment with regulatory requirements and company standards.
  • Serve as the subject matter expert and policy owner for fleet safety, providing guidance and interpretation to branch managers and operational leaders.
  • Ensure branch managers understand, adhere to, and consistently apply fleet safety and DOT compliance policies across all locations.
  • Identify gaps in policy understanding or execution and provide coaching, training, or corrective action support to drive consistent compliance and risk reduction.
  • Partner with HR and Operations to support driver hiring by establishing DOT qualification standards, conducting required pre-employment compliance reviews, and providing final compliance clearance prior to hiring.
  • Partner with local managers on the onboarding of new drivers, ensuring consistent execution of DOT and safety onboarding requirements.
  • Maintain and continuously improve the new driver onboarding checklist and processes to ensure all regulatory, safety, and operational topics are covered.
  • Serve as a resource to branch leadership, reinforcing shared accountability for safe and compliant driver onboarding.
  • Administer company fleet safety programs, including audits, documentation, regulatory readiness, and continuous improvement initiatives.
  • Support the development, execution, and enhancement of fleet safety, compliance, and operational projects.
  • Drive improvements to existing programs while maintaining strong operational discipline across established compliance processes.
  • Serve as a subject‑matter expert for DOT, fleet safety, and transportation regulations across all fleet locations.
  • Provide guidance and recommendations to Operations leadership on compliance risks, corrective actions, and best practices.
