About The Position

The Universal Group, recognized as one of Canada's Best Managed companies in 2026, has an exciting opportunity in our Fleet and Rental team. As a Fleet & Rentals Coordinator, you will be responsible for optimizing the Interior operations surrounding fleet and rental business. Primary responsibilities will include inventory management, equipment repair/maintenance, property/asset tracking, and ensuring the overall functionality and cleanliness of the fleet, facilities, and equipment.

Requirements

  • High school diploma or equivalent; a bachelor's degree in a related field is a plus.
  • Hands on leadership – this is not a purely office-based role. Approximately 50% of your time will be spent doing administrative tasks and 50% will be in the field supporting your team as needed.
  • Minimum 2 years of experience in fleet management preferably in a traffic control or similar industry.
  • Proficiency in using inventory management software and Google Suite.
  • Valid driver's license with a clean driving record.
  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.

Nice To Haves

  • Experince with Geotab and Point Of Rental software is preferred
  • Experience towing a trailer is preferred.

Responsibilities

  • Maintain accurate records of all inventory items in the warehouse.
  • Monitor stock levels and reorder supplies/equipment as needed to ensure uninterrupted operations.
  • Conduct regular inventory audits to identify discrepancies and implement corrective measures.
  • Supplies equipment as needed to support all company fleet vehicles, sites, and personnel.
  • Provide weekly reporting to the Operations Manager.
  • Provide timely delivery of fleet vehicles and equipment as required.
  • Efficiently load, unload, and organize fleet vehicles and equipment in accordance with operational requirements.
  • Ensure all fleet vehicles and equipment is maintained and kept in clean / damage free condition.
  • Schedule and complete maintenance on equipment including trailers with electrical components, batteries, etc.
  • Track and manage all company-owned property within warehouse and office facilities, including equipment, vehicles, and tools.
  • Implement a system for check-in and check-out of company property to prevent loss or damage.
  • Collaborate with maintenance teams to ensure the facilities are well-maintained and meet safety standards.
  • Schedule and oversee routine facility inspections, repairs, and maintenance activities.
  • Supervises parking facilities, maintenance services (including janitorial and HVAC), and ensures compliance with health and safety regulations for facilities.
  • Liaise with vendors and suppliers to ensure timely delivery of supplies and equipment & timely work is completed on assets in for service.
  • Generate and share approved PO’s with vendors in a timely fashion to ensure no interruption in payment to primary vendors.
  • Ensure that all facility operations comply with safety regulations and company policies.
  • Conduct safety training and drills for employees as needed.
  • Maintain accurate records of all fleet & equipment in appropriate portals (Geotab, Monday.com, etc.)
  • Generate regular reports on inventory levels, property status, and facility maintenance.
  • Provide insights and recommendations for cost savings and process improvements.
  • Identifies discrepancies between physical inventory counts and computerized records, and implements necessary adjustments.
  • Provide weekly, monthly and quarterly reporting to the General Manager of Traffic Services.
