About The Position

The Fleet Manager is responsible for the comprehensive maintenance and repair of our diverse fleet, which includes both landscaping and heavy excavation equipment. This role ensures all vehicles and machinery are maintained to the highest standards of safety and operational efficiency, minimizing downtime and maximizing productivity. The supervisor will lead a team of mechanics, manage maintenance schedules, control inventory, and ensure compliance with all relevant regulations. Leadership Defines and communicates the department’s vision and strategic goals; tracks progress against targets, coordinates cross-functional activities, and maintains timely, transparent communication with leadership and field teams to ensure alignment and continuous improvement. Has direct supervisory responsibility for at least two full-time mechanics and regularly directs and assigns their daily work, workflow, and priorities, overseeing maintenance processes and delegating work orders rather than performing those tasks as the primary activity. Responsible for full performance management of the team, including performance reviews, coaching, discipline, and holding team members accountable for outcomes. Responsible for staffing the shop, including making hiring recommendations, participating in selection decisions, and managing onboarding and training. Spends the majority of work time (>50%) on managerial duties, coaching, planning, budgeting, staffing, vendor negotiations, contract/vendor oversight, and performance management. Responsible for budgeting, forecasting, cost control, and vendor and contract oversight to achieve financial and operational targets. Fleet Operations & Maintenance Manage daily fleet operations to ensure equipment availability for field teams Develop and oversee preventative maintenance schedules with 95%+ compliance Manage work orders, repair approvals, and maintenance documentation Monitor asset condition and proactively identify repair or replacement needs Reduce downtime through structured maintenance planning and coordination Ensure consistent pre-trip and post-trip inspection processes Asset Tracking & Utilization Maintain accurate fleet inventory and asset registry Track equipment utilization and optimize allocation across divisions Monitor maintenance cost per vehicle and equipment class Support lifecycle planning and capital replacement forecasting Ensure proper tagging and tracking of all fleet assets Fuel & Cost Control Monitor fuel usage, idle time, and MPG reporting through telematics Identify inefficiencies and implement corrective action Control repair expenses through vendor management and approval processes Track cost per mile and cost per equipment hour Support budgeting and cost forecasting efforts Safety & Compliance Ensure compliance with DOT regulations and company safety standards Maintain inspection records and compliance documentation Support accident investigations and corrective action plans Monitor driver qualification and vehicle documentation requirements Partner with HR and Safety leadership on compliance-related matters Vendor & Shop Coordination Coordinate with repair vendors, parts suppliers, and service providers Negotiate pricing and manage service timelines Oversee internal shop workflow and scheduling Maintain strong vendor relationships to ensure service quality and responsiveness

Requirements

  • Minimum of 5 years of experience in fleet maintenance and repair, with a strong emphasis on heavy equipment.
  • Proven supervisory and leadership experience.
  • Extensive knowledge of heavy equipment maintenance and repair, including hydraulic systems, diesel engines, and electrical systems.
  • Strong diagnostic and problem-solving skills.
  • Proficiency in welding and fabrication.
  • Familiarity with inventory management systems and budget control.
  • Ability to read and interpret technical manuals and schematics.
  • Valid driver's license; CDL preferred.
  • Knowledge of DOT and EPA regulations.
  • Ability to lift 50 lbs or more, stand for extended periods, and perform repetitive tasks.
  • Comfortable working outdoors in various conditions, including heat, cold, and rain.
  • Monday-Friday, 6:30 AM - 4:30 PM, weekends and extended hours as needed

Nice To Haves

  • ASE certifications, particularly in heavy equipment, are highly desirable.
