Requirements

  • Intermediate to advanced data entry and computer skills.
  • Proficiency in Microsoft Outlook, Excel, and Word; strong Excel skills are required.
  • Ability to type 50+ WPM.
  • Excellent written and verbal communication skills.
  • Strong problem-solving skills with the ability to identify and resolve discrepancies.
  • Reliable transportation required.

Responsibilities

  • Assist the Fleet Manager with daily administrative and operational fleet functions.
  • Manage vehicle registrations, renewals, state licensing requirements, and related documentation.
  • Track required vehicle maintenance and communicate with maintenance and body shops as needed.
  • Coordinate, review, and reconcile purchase orders, invoices, maintenance expenses, and field employee expenses.
  • Monitor fleet-related charges, identify potential fraudulent activity, and assist with resolving discrepancies.
  • Activate, maintain, assign, and deactivate nationwide toll transponders and manage associated toll costs.
  • Assist with GPS assignments, migrations, utilization, and reporting discrepancies.
  • Assign, track, and maintain company tools, equipment, and other assets issued to field employees.
  • Order tools, materials, uniforms, PPE, and other supplies as requested.
  • Record and maintain fleet, tool, material, and asset information within company systems and shared platforms.
  • Prepare and distribute monthly reports related to fleet expenses, allocations, inventory, truck stock, tools, and company assets.
  • Research and resolve reporting or allocation inaccuracies in a timely manner.
  • Assist with fleet and tool inventory audits and ensure records remain accurate and up to date.
  • Support the Fleet Manager with training and documentation of standard operating procedures.
  • Perform miscellaneous administrative and fleet-related duties as assigned.
