About The Position

Johnson Controls is seeking a Fire Project Coordinator to support fire alarm, suppression, and sprinkler install base projects. In this role, you will partner with Construction Managers, Project Managers, sales, TIS, customers, and internal support teams to keep projects coordinated, documented, billed, and moving forward. This position provides operations and administrative support for small projects from setup through close-out. You will help manage project documentation, equipment ordering, schedule follow-up, customer communication, billing support, and issue resolution while helping ensure each project meets customer expectations.

Requirements

  • High school diploma or equivalent.
  • Proficiency in Microsoft Windows, Word, Excel, and PowerPoint.
  • Knowledge of ACE, OASYS, and job cost systems.
  • Valid driver's license with a good driving record.
  • Strong organizational skills with the ability to multi-task and prioritize assignments.
  • Excellent verbal and written communication skills.
  • Detail-oriented, self-motivated, punctual, and accountable.
  • Experience dealing with customers in a professional setting.
  • Ability to pass a pre-employment background check and drug screen.

Nice To Haves

  • Associate's degree.
  • 3 to 5 years of related experience.
  • Experience in a high-volume, customer service-oriented position.
  • Electrical or construction industry experience.

Responsibilities

  • Assist Construction Managers and Project Managers with project coordination and documentation.
  • Upload and maintain projects and contracts through Job Design/BBI.
  • Monitor the status of small fire alarm, suppression, and sprinkler projects.
  • Order equipment and coordinate delivery so customers receive material when needed.
  • Communicate material and labor needs to customers and sales representatives.
  • Coordinate customer labor requirements with the TIS supervisor and/or construction manager.
  • Support engineering follow-up to help meet customer expectations.
  • Process change orders, release equipment, and maintain related project records.
  • Manage filing, certificates of insurance, warranty letters, and close-out documents.
  • Prepare project billing and compile backup documentation such as certified payroll and work tickets.
  • Create purchase orders for subcontractors and support procurement follow-up.
  • Verify project schedules and track RFIs, change orders, and other key documentation.
  • Attend work-in-progress meetings and report project status to department managers.
  • Support coordination with the sales team on project bookings, job releases, and COE or credit holds.
  • Assist with Accounts Receivable activities, including dispute support when requested.
  • Act as a point person for information sharing between OTC, the District, and select customers as directed.
  • Contact customers when needed to support DMS activities or other simple follow-up reasons.
  • Perform general office duties and additional tasks as assigned.
