About The Position

The Center for Advanced Reproductive Services (CARS) brings nearly four decades of experience caring for fertility patients. Led by reproductive endocrinology experts, our results and reputation are among the best because we pair the most appropriate medical care with an environment that is sensitive to every patient’s needs. We are seeking a professional and compassionate full-time, fully remote Financial Services Representative (FSR) to guide patients through the financial side of fertility care. Supporting an assigned team physician, you’ll be the go-to resource for insurance benefits, treatment cost estimates, and payment coordination for diagnostic testing and assisted reproductive technologies (ART). Many patients come to us overwhelmed by complex coverage and payment options. This role is ideal for someone who can explain the numbers clearly, handle sensitive conversations with discretion, and make a stressful part of the journey feel manageable.

Requirements

  • High school diploma or equivalent
  • A minimum of 2 years’ experience in medical billing, insurance verification, or financial counseling
  • Strong understanding of insurance plans, benefits, and prior authorization processes
  • Ability to explain complex financial and insurance information clearly and compassionately
  • Strong attention to detail and the ability to manage multiple priorities in a fast-paced clinical environment
  • Excellent communication, organizational, and customer service skills, with discretion when handling sensitive information

Nice To Haves

  • Experience in infertility, reproductive endocrinology, OB/GYN, or specialty practice
  • Familiarity with ART procedures and fertility benefit structures
  • EMR and practice management system experience
  • Associate’s or Bachelor’s degree in healthcare administration, business, or a related field

Responsibilities

  • Own each patient’s financial experience from treatment planning through cycle completion, working closely with physicians, nurses, and clinical coordinators so financial and clinical workflows stay aligned.
  • Review treatment plans with patients before care begins and explain costs, insurance benefits, and out-of-pocket responsibilities for diagnostics, IUI, IVF, fertility preservation, and related medications.
  • Confirm eligibility and benefits, secure authorizations and referrals, and work with carriers to resolve denials and coverage discrepancies (a third-party partner performs verifications and prior authorizations, and you own their accuracy and follow-up).
  • Prepare accurate treatment estimates and consents, collect payments per clinic policy, coordinate with third-party financing programs, and ensure financial clearance before treatment start dates.
  • Complete daily charge entry for IVF cycles and verify superbills, finalizing by month end. Monitor accounts through cycle completion and partner with the Central Billing Office on refunds and adjustments.
  • Respond promptly to patient questions by phone and email, and follow up on outstanding balances with professionalism and sensitivity.
  • Review the physician schedule a few days out to keep it full and accurate, cover FSR positions during absences, and help train new FSRs.
  • Maintain accurate EMR and billing documentation in line with clinic policy, payer requirements, and HIPAA.
