About The Position

Arcadis is seeking a Project Assistant to join their team in supporting project administration work for multiple project managers and operations in the NY Area. The role involves regular interaction with Project Controllers and the Finance Manager regarding contracts and project-specific financials and metrics. This is a hybrid position, requiring the candidate to be able to come into the Clifton Park office as needed, and they will be working locally with project managers and teams. The position offers an opportunity for a self-motivated individual to join the team locally with support from Arcadis. The role will focus on project-specific tasks such as tracking project progress, preparing reports on contracts for management, monitoring project budgets, and distributing routine correspondence for multiple projects simultaneously. The ideal candidate should possess strong interpersonal and communication skills, high proficiency in Microsoft Word, PowerPoint, Outlook, and Excel, and a drive for continuous process improvement. Exceptional time management, organizational abilities, the capacity to work under time constraints, prioritize tasks, and manage multiple projects are essential. Excellent analytical skills and attention to detail are also required.

Requirements

  • Associate or Bachelor degree in Accounting, Finance, Business Administration, or related field or equivalent experience
  • 3+ years of experience
  • High level of proficiency in Microsoft Word, PowerPoint, Outlook, and Excel
  • Exceptional time management and organizational abilities
  • Capability to work effectively under time constraints, prioritize tasks, and manage multiple projects and responsibilities simultaneously
  • Excellent analytical skills with a keen attention to detail

Nice To Haves

  • Previous experience with client billing procedures, particularly State Agencies (NYSDEC, NYSOGS, NYSEFC, NYSOPRHP, NYPA, NYSERDA, etc.)
  • Experience/Knowledge with Oracle (or other online database)
  • Ability to work under time constraints to accomplish goals and objectives, handle multiple projects for several project managers simultaneously.

Responsibilities

  • Work closely with project managers to ensure client invoices are prepared monthly and sent each month for all projects within the NYS Area.
  • Participate in monthly project reviews with Finance Managers and Project Managers.
  • Provide and analyze financial project metric reports for project managers (e.g., Project Revenue, profitability, accounts receivable).
  • Coordinate with subcontractors on billing requirements and prepare documents associated with client billing related to client contracts.
  • Set up projects in Oracle and track and monitor project schedules and budgets as primary support for project managers regarding project and financial management.
  • Verify invoices comply with contract terms.
  • Prepare sophisticated reports and spreadsheets, conducting a high level of quality control of documents following guidelines for billing large municipal clients.
