The Financial Coordinator provides assistance to patients, clinicians, and staff concerning insurance and account inquiries. Ensures patients are advised of financial responsibility and facilitate patient payments via collection of deposits, setting up payment plans, and processing financial assistance when applicable. Provides quality customer service by handling incoming patient calls. Offers financial assistance to patients according to WHA policy and is the liaison between patients and their insurance companies, coordinating payments and answering questions from both parties. Educates patients about payment and financial assistance options. Runs reports to ensure patient's insurance is contracted and sends self-pay estimates to uninsured and non-contracted patients. Obtain prior authorizations for various services.

Requirements

  • High school diploma or GED required.
  • Medical office experience required, preferably in an OB/GYN medical group practice.
  • At least one year of experience in medical billing is preferred.
  • Prior experience with or the ability to learn medical practice management scheduling and billing software required.
  • Medical terminology and coding, including ICD-10, CPT and HCPCS required

Responsibilities

  • Meet personally or via phone with patients to review their OB benefits, including calling to review, arrange payment plans and posting deposits.
  • Obtain referrals from primary care offices for patients if their insurance requires a referral.
  • Offer financial assistance /discounts to patients according to WHA policy as well as refund requests.
  • Determine when authorization is necessary for gynecological problem visits for Medicaid patients, and requests authorization as needed.
  • Provides assistance to patients, clinicians, and staff concerning insurance and account inquiries, including but not limited to obtaining insurance referrals, determining in network facilities & coverage, as well as running daily reports (Appointment, OHP & CF/SMA).
  • Assists with insurance benefit verification including eligibility.
  • Examine appointment reports for potential insurance problems or patients with delinquent accounts.
  • Add Alert Notes to accounts as necessary.
  • Answer live patient phone calls and staff messages, CRM messages, Pt MyHealth messages and phone notes, often calling patients back.
  • Provide assistance to patients, staff and clinicians concerning insurance benefits and account inquiries.
  • Verify eligibility and benefit coverage utilizing insurance websites when applicable, and as needed or requested.
  • Alert reception team to ensure patients complete appropriate forms as needed.
  • Acts as a resource for follow-up on required forms.
  • Act as a liaison between the administrative office, clinicians and other clinical staff in communicating information regarding patients, insurances and billing.
  • Collect and record patient deposits and provide receipts.
  • Run daily OHP and Appointment reports (Sending DX check flags, obtaining referrals & updating insurances, checking for balances, payment plans and delinquent accounts).
  • Confirm providers are contracted with insurance companies for appointments scheduled.
  • Answer voicemails, incoming calls and outgoing calls to patients, insurance companies & PCP offices.
  • Run daily CF/SMA/NIPT reports including obtaining prior authorizations as needed or faxing chart notes to Quest as requested.
  • Run daily appointment reports on patients coming in within the next 2 days. From these reports, we see if any balance is owed, referrals needed, correct insurances that are entered wrong, make sure estimates are attached to visits when needed like self-pay estimates or surgery deposits. Call patients to review estimates and benefits, add notes to case / guarantor account & collect deposits. Also update provider and surgery scheduler as needed.
  • Check the Financial Coordinator Fax folder and forward to appropriate FC or other WHA personnel.
  • Search for insurance for patients who are scheduled by staff or scheduled online with no insurance or out-of-date insurance.
  • Send self-pay estimates to patients who are not able to find insurance within the timeline outlined in the No Suprises Act via MyHealth, Secure Email, or USPS depending on what is updated in the patient's registration.
  • Provide quality customer service by handling incoming patient calls, processing voicemails, returning calls, CRM messages and other communications via MyHealth portal.
  • Provide education to patients about payments, claim processing, insurance billing (including Global OB and Surgery Billing) and financial assistance options.
