About The Position

The Financial Assistant will maintain and provide financial and administrative information to management. This role involves managing accounts receivable and payables, preparing various financial reports, assisting with budget management, maintaining an inventory system, administering benefit plans, and ensuring the security of financial information. The position requires strong computer and accounting skills, the ability to work under pressure and with minimal supervision, and excellent communication and interpersonal skills to interact with diverse groups.

Requirements

  • High school diploma
  • Some college preferred
  • Knowledge of accounting principles and bookkeeping
  • Computer experience: Word Processing, Data Base(s), Spread Sheets
  • Computer skills
  • Accounting knowledge and ability to set up books
  • Ability to work under pressure and deadlines
  • Ability to budget time and duties efficiently
  • Ability to manage position with minimal supervision
  • Ability to develop and maintain professional relationships and to communicate and work with other staff, clients, volunteers and general public from various cultural, ethnic and racial backgrounds.

Responsibilities

  • Deliver financial services including accounts receivable and payables, preparation of payment requests, monthly CPA reports with checkbook reconciliation, daily reconciliation of fees collected, coding and posting to journals and ledgers, collecting and organizing information for annual audits, and adjusting/correcting data.
  • Prepare monthly, quarterly, and/or annual reports and financial statements by preparing financial summaries, collecting and recording client and program data, and preparing attendance records.
  • Help prepare and manage the agency budget and fund development plan by providing information for departmental budgets and grant proposals, monitoring revenue and expenditures, recommending budget allocations, and staffing agency fundraisers.
  • Maintain a perpetual inventory system by recording receipt of materials/equipment against invoices and recording and tagging inventory.
  • Administer retirement and other group benefit plans by calculating payments and completing reports.
  • Provide financial and grant historical references and ensure security of financial and program information by establishing and maintaining record-keeping systems, filing and retrieving program information, and completing database backups.
  • Maintain client and agency confidence and protect operations by enforcing rules, regulations, and legal requirements related to grants, reviewing and recommending changes to policies and procedures, performing new employee orientation regarding agency forms and records, and keeping information confidential.
  • Maintain professional competency by participating in continued education and personal growth experiences.
  • Help people communicate in a harmonious working environment by answering and referring telephone calls on a backup basis and maintaining awareness of staff schedules and information flow.
  • Perform other duties as related to the position and as assigned.
  • Work non-traditional hours and/or alternate schedules during special projects or to meet agency deadlines.
