About The Position

The Admin Coordinator delivers outstanding customer service in all areas and functions of the Academic Services Office and to perform in-person transactions for currently enrolled students and former students, faculty, administrators and the general public. This responsibility requires broad knowledge and application of university operations and specific Federal /State regulations. Retains all student records for the Financial Aid and Registrar’s office. Job Description Essential Functions Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson. The most essential function of this front-line staff position is to manage high volumes of inquiries, triage issues, and streamline workflows so that more complex cases can be handled by financial aid officers and registrar staff. This position will often identify students’ unique situations and direct them to appropriate resources or escalate cases to specialists, acting as a bridge between students and the financial aid and enrollment system, ensuring access, clarity, and support throughout their enrollment. Responds to email requests and questions sent to the [email protected] address in timely fashion. Emails range from 50-100 per day depending on time of year. Backup for processing transcript orders through the NSC Certify Delaware State Grant and Americorps recipients when notified by providing enrollment information and posting awards on Banner Process need analysis for SKMC students applying for financial aid Maintain all incoming documentation for students’ financial aid applications in AS shared drive. Logs and retain records of all incoming scholarship checks in Banner and deliver them to Student Accounts Office Assist in creating records retention plan for the Financial Aid office by ensuring file room is organized and purging student records as needed. Provides immediate (on-demand) services related to current and upcoming semester registration, change of schedule, print on-demand copies of student transcript/schedule/grade reports, update student name, address, and demographic changes, as needed. Assists in financial aid functions related to customer services (e.g., telephones, walk-in, email services) Assists with data entry, student communication, reports, and other applicable duties as assigned

Requirements

  • High School Diploma or GED required.
  • Prior experience in college registrar’s or student services areas preferred.
  • Information specialist knowledgeable in all functions of the Office of Academic Services concerning the six colleges that comprise the university (Sidney Kimmel Medical College, and the Jefferson Colleges of Health Professions, Nursing. Pharmacy, Population Health and Biomedical Sciences).
  • Respond to inquiries by explaining and interpreting academic policies, procedures, and deadlines.
  • Understand general functions of other administrative offices in order to provide baseline information (i.e., Tuition/Cashier Office, Admissions Offices and Office of Student Life and Diversity.
  • Complies with all FERPA and other State and Federal legislation.
