About The Position

The Department of Historical and Cultural Studies and the Department of Philosophy at the University of Toronto Scarborough are seeking a Financial Administrator. This role is responsible for various finance and accounting assignments, including processing expense reimbursements and invoices, reconciling accounts, managing timesheets for payroll, and preparing monthly financial statements and P-Card statements. The incumbent will ensure compliance with the University's financial guidelines and procedures. Additionally, this position involves analyzing and creating financial reports for strategic planning, budgeting, modeling, and forecasting. The Financial Administrator will work closely with the Business Officer to ensure business transactions adhere to generally accepted accounting principles, University financial and purchasing guidelines, and funding rules. Responsibilities also include asset management, purchasing, inventory, record-keeping, and space coordination for the departments.

Requirements

  • Advanced College Diploma (3 years) in a related field (e.g. accounting, finance) or acceptable combination of equivalent experience.
  • Minimum three years related experience in accounting/finance/analysis.
  • Experience in related administrative support required.
  • High level of knowledge with FIS, HRIS and RIS preferred, or equivalent information systems is essential.
  • Must have an aptitude for numbers, be analytical and have strong problem solving abilities.
  • Strong communication skills (both oral and written).
  • Highly developed computer skills in Excel, Word, email and internet.
  • Ability to prioritize and complete many competing demands in order to meet strict deadlines with keen attention to detail.
  • Must be highly service-oriented and possess strong interpersonal skills, and ability to work well in a team environment.
  • Demonstrated ability exercise tact, good judgment and diplomacy when dealing with staff, faculty and students.

Nice To Haves

  • Experience working in a post-secondary or public sector environment is preferred.
  • Knowledge of the University’s Guide to Financial Management is an asset.

Responsibilities

  • Applying the generally accepted accounting principles to all financial tasks.
  • Applying the University Guide to Financial Management and other applicable policies and procedures from granting agency and regulatory bodies.
  • Preparing expense reimbursements and journal entries.
  • Preparing accounts payable / account receivable according to the University Guide to Financial Management.
  • Checking that proper approvals are obtained prior to processing transactions.
  • Monitoring, recording, reconciling and/or reporting on funding accounts for grants and contracts.
  • Recording detailed transactions for departments operating and research accounts.
  • Generating standard financial reports regularly and reconcile them with actual back up documents.
