About The Position

The Finance Systems Specialist supports the configuration, administration, and daily enablement of Finance systems and workflows. This role keeps finance tools organized, users supported, documentation current, and recurring processes streamlined, helping prevent siloed knowledge and ensuring consistency. This role plays a key part in helping Whitestone scale by turning finance systems into reliable, well-documented, and easy-to-use tools for the broader organization. It partners closely with Operations, and external vendors to reduce manual work, improve visibility, and ensure systems evolve alongside the business. This role also supports the Executive Director of Finance as the company’s financial needs continue to evolve.

Requirements

  • 3+ years in finance systems support, accounting operations support, or business systems administration
  • Comfort with finance workflows and controls (AP, AR, close fundamentals)
  • Excellent organization, documentation, and follow-through

Nice To Haves

  • Experience with multi-entity companies and/or acquisitions
  • Knowledge of global finance and accounting systems
  • Familiarity with reporting tools (Fathom, Zoho Analytics, AI)

Responsibilities

  • Administer core finance platforms (e.g., QBO, Fathom, Avalara, Commonsku-related finance workflows, Chaser, ect.)
  • Manage user access, roles/permissions, and basic configuration updates
  • Support issue triage: diagnose workflow/system problems, coordinate with vendors, track resolution
  • Maintain consistent master data hygiene, including client setup standards, coding rules, entity tags as applicable
  • Maintain finance SOPs, checklists, and process maps
  • Support month-end readiness by keeping templates, schedules, and supporting trackers updated
  • Build and maintain “how-to” guides and training resources for the Finance team (including offshore users)
  • Help standardize recurring processes to reduce manual work and errors
  • Assist with report refreshes, schedule automation, and dataset integrity checks
  • Validate key process outputs (tie-outs, exception lists, variance flags) and route issues to owners
  • Support implementation and upkeep of dashboards and recurring KPI views
  • Coordinate system vendors and help document integration requirements and testing steps
  • Support acquisition onboarding tasks including user setup, process documentation, basic system readiness checklists
