About The Position

LuxBrush Painting Co. and its affiliated companies are seeking a Finance Operations Specialist to join their small finance team. This role offers the opportunity to work with multiple companies with different business models and to play a key role in implementing automation and AI in finance operations. The specialist will help decide what to automate, test tools, and document processes.

Requirements

• Three or more years in accounts payable, bookkeeping, payroll support, or staff accounting.
• Solid grasp of accrual accounting, reconciliations, and transaction flow to financial statements.
• Hands-on experience with QuickBooks Online or comparable software.
• Strong spreadsheet skills, including lookups, pivot tables, and data cleaning.
• Attention to detail in identifying discrepancies.
• Comfort in politely requesting information from owners and field managers.
• Professional discretion with sensitive financial and employee information.

Nice To Haves

• Multi-entity and intercompany accounting experience.
• Experience working with a third-party payroll provider.
• Exposure to field-service or job-management software (e.g., ServiceTitan, Jobber).
• Hands-on use of automation or AI tools (e.g., Zapier, bill-capture apps, bank rules, AI assistants).
• An associate's or bachelor's degree in accounting, finance, or a related field.

Responsibilities

• Review, code, and enter vendor bills across entities in QuickBooks Online.
• Confirm approvals, prepare check and ACH payment runs, maintain vendor records, and reconcile vendor statements.
• Gather hours, PTO, bonuses, deductions, and employee changes for the payroll provider.
• Reconcile payroll reports to the books, prepare payroll entries and accruals, and answer routine questions with discretion.
• Complete bank and credit card reconciliations, accruals, journal entries, intercompany entries, and supporting schedules.
• Map current workflows, identify repetitive manual steps, and assist in setting up and testing automation tools.
• Build schedules, support tax and audit preparation, answer job-cost questions, and handle ad-hoc financial tasks.
